Job Summary

The Global Meeting Services team provides data support for worldwide markets, monitoring and obtaining information on corporate action events like shareholder meetings. This includes collecting relevant documents, meeting details, securities information, and agenda items, which are then accurately inputted into a database for client access and use by other teams for vote recommendations. The role involves continuous monitoring, data procurement, and ensuring smooth communication within the organization.

Must Have

  • Monitor corporate action events from various sources like Stock Exchanges, company websites, EDGAR, SEDAR.
  • Procure relevant shareholder meeting documents such as Annual Report, Notice of the Meeting, Information Circular, Proxy Form.
  • Contact companies or issuers by email or phone for engagements.
  • Collect meeting details like date, type, record date, location, time, voting instructions.
  • Ascertain securities (ISIN, SEDOL, CUSIP, CINS) with relevant voting rights.
  • Extract and encode meeting agenda to the database for client awareness.
  • Input correct Voting Instructions, Valid Vote Options, Market Deadline Date, and Registrar details.
  • Collect and input meeting results to the database.
  • Assist in any other relevant projects assigned.
  • Investigate issues of the markets covered raised by different teams.
  • Cover and answer various issues found in daily reports.
  • Ensure proper communication between GMS and other teams within ISS.
  • Responsively attend to queries coming from clients, issuers, and internal issues.
  • Participate in various working committees and/or projects.

Job Description

Overview:

The Global Meeting Services provides data support and services covering markets worldwide including, but not limited to, US, Canada, China, Vietnam, Taiwan, United Kingdom, South Africa, Australia, New Zealand and Asia Pacific. The team continuously monitors and obtains relevant information on all upcoming corporate action events specifically shareholders meetings where topics such as acquisitions, mergers and demergers, election of directors and auditors might be discussed. The relevant meeting results are also collected. The information collected is accurately inputted in the database and this will be generated for clients to see. Collected information is also used by other teams for further data collection and research for the ultimate issuance of ISS Vote Recommendations.

Responsibilities:

  • Monitoring corporate action events such as shareholders meetings from various sources like Stock Exchanges of each market, company websites, EDGAR, SEDAR and the like
  • Procuring relevant shareholder meeting documents such as Annual Report, Notice of the Meeting, Information Circular, Proxy Form and other Corporate Governance documents
  • Contacting the companies or issuers by email or phone for engagements
  • Collecting meeting details such as the date, type, record date, location, time, voting instructions
  • Ascertaining securities (ISIN, SEDOL, CUSIP and CINS) that have the relevant voting rights in a meeting Extracting the meeting agenda and encoding it to the database to make clients aware of the agenda /resolutions that will be voted at the meeting
  • Inputting correct Voting Instructions such as the Valid Vote Options; Market Deadline Date and details of the Registrars Collecting results of the meetings and inputting it to the database
  • Assisting in any other relevant projects that might be assigned from time to time
  • Investigating issues of the markets covered raised by the different teams
  • Covering and answering various issues found in the daily reports
  • Ensuring that proper communication is established between GMS and other teams within ISS to maintain a smooth workflow Responsively attending to queries coming from clients, issuers, and other internal issues
  • Participating in various working committees and/or projects

Qualifications:

  • Bachelors’ Degree in Business, Finance, Economics or any equivalent/related course
  • Strong oral and written communication skills – both in English and Vietnamese Knowledge and experience in using MS-Office
  • Ability to work within a team-oriented environment
  • Ability to work under tight deadlines
  • Ability to work overtime
  • Strong skills in problem solving
  • Strong attention to detail
  • Strong organizational skills and ability to prioritize multiple tasks
  • Understanding of corporate governance issues, corporate transactions and capital markets is a plus
