We are seeking a motivated Payroll Specialist to join our Payroll team in Berlin, Meiningen, or Munich. This role involves acting as a central interface in the payroll process between the company and external service providers, and serving as the main contact for employee payroll inquiries. The specialist will ensure accurate and timely execution of monthly payroll, maintain a high level of service, and ensure compliance with legal requirements, internal policies, and data protection standards. Responsibilities include advising on special topics, contributing to cross-functional processes, managing administrative tasks, preparing financial closings, reconciling accounts, conducting internal audits, and supporting various projects. This role requires a commercial background, preferably with additional qualifications in payroll accounting, several years of HR experience with a payroll focus, and strong knowledge of labor law, income tax, and social security regulations. Proficiency in payroll systems (preferably DATEV) and experience in international corporate environments are desired. Excellent communication skills, a structured and solution-oriented work style, and fluency in German and English are essential.

Hauptaufgaben

  • Zentrale Schnittstelle im vorbereitenden Lohnabrechnungsprozess zwischen Adtran und externen Dienstleistern

  • Ansprechpartner für lohnbezogene Anfragen aus dem Unternehmen sowie Beratung der Mitarbeitenden

  • Sicherstellung der ordnungsgemäßen Durchführung der monatlichen Gehaltsabrechnung

  • Gewährleistung eines hohen Serviceniveaus bei allen abrechnungsspezifischen Fragestellungen

  • Einhaltung gesetzlicher Vorgaben (z. B. Steuer-, Sozialversicherungs- und Arbeitsrecht), interner Regelungen und Richtlinien (z. B. Betriebsvereinbarungen, SOX, Datenschutzstandards)

  • Beratung zu Spezialthemen und Mitwirkung an bereichsübergreifenden operativen Prozessen

  • Übernahme und Umsetzung administrativer Aufgaben inklusive Risikobewertung und Maßnahmenentwicklung

  • Vorbereitung und Unterstützung bei Monats-, Quartals- und Jahresabschlüssen (z. B. Datenbereitstellung für Finanzbuchhaltung, Controlling, Bankportale)

  • Abstimmung lohnbezogener Finanzkonten in Zusammenarbeit mit der Finanzabteilung

  • Unabhängige Durchführung von internen Prüfungen und Betriebsprüfungen durch externe Stellen wie Finanzbehörden, Berufsgenossenschaften und Sozialversicherungsträger oder Wirtschaftsprüfer

  • Unterstützung verschiedener Projekte (z.B. Umsetzung von Gesetzesänderungen, Vergütungsmodellen, Verbesserungen)

Erforderliche Kenntnisse und Qualifikationen

  • Abgeschlossene kaufmännische Ausbildung, idealerweise als Industriekauffrau/-mann

  • Zusatzqualifikation oder Weiterbildung im Bereich Lohn- und Gehaltsabrechnung wünschenswert

  • Mehrjährige Berufserfahrung im Personalwesen mit Schwerpunkt Entgeltabrechnung

  • Fundierte Kenntnisse im Arbeits-, Lohnsteuer- und Sozialversicherungsrecht

  • Sicherer Umgang mit Abrechnungssystemen, vorzugsweise DATEV

  • Erfahrung in einer vergleichbaren Position, idealerweise im internationalen Konzernumfeld

  • Ausgeprägte Kommunikationsfähigkeit und die Fähigkeit, komplexe Sachverhalte verständlich und zielgruppengerecht zu vermitteln

  • Selbstständige, strukturierte und lösungsorientierte Arbeitsweise

  • Verhandlungssichere Deutschkenntnisse sowie gute Englischkenntnisse in Wort und Schrift

Principle duties and essential functions

  • Act as a central interface in the preparatory payroll process between Adtran and external service providers

  • Serve as the main contact for payroll-related inquiries from employees and provide expert advice

  • Ensure accurate and timely execution of the monthly payroll process

  • Maintain a consistently high level of service in all payroll-related matters

  • Ensure compliance with legal requirements (e.g., tax, social security, and labor laws), internal policies (e.g., works agreements, SOX), and data protection standards

  • Advise on special topics and actively contribute to cross-functional operational processes

  • Take responsibility for administrative tasks including risk assessments and implementation of appropriate measures

  • Prepare and support monthly, quarterly, and annual financial closings (e.g., data handover to Finance, Controlling, and bank portals)

  • Reconcile payroll-related financial accounts in cooperation with the Finance department

  • Independent performance of internal audits and company audits by external bodies such as tax authorities, employers' liability insurance associations and social security institutions or auditors

  • Support various projects (e.g., implementation of legal changes, compensation models, and process improvements)

Knowledge, skills and experience required

  • Completed commercial training, ideally as an industrial clerk

  • Additional qualification or further training in payroll accounting is a plus

  • Several years of professional experience in Human Resources with a focus on payroll

  • In-depth knowledge of labor law, income tax, and social security regulations

  • Proficient in using payroll systems, preferably DATEV

  • Experience in a similar role, ideally in an international corporate environment

  • Strong communication skills and the ability to explain complex payroll topics to different target groups

  • Independent, structured, and solution-oriented working style

  • Fluent in German (negotiation level) and confident in English communication (written and spoken)
