The Production Coordinator is a critical position at ILM, providing administrative and backup support to the production team while offering an opportunity to learn about the production environment and process. This role primarily focuses on scheduling, communication, and coordination for specific groups of artists, reporting to the Project Producer and Production Manager. It requires excellent organizational skills, the ability to balance multiple priorities, and serves as a vital information source for the team, also guiding Production Assistants.
Must have:
  • Maintain processes for communicating discipline targets, assignments, and priorities.
  • Serve as key communication liaison, providing project updates and status.
  • Schedule, track, and manage assigned work within Shotgrid.
  • Regularly check in with artists on workload and needs.
  • Track client needs, reviews, and ensure delivery targets are met.
  • Inform leadership of any schedule delays or issues.
  • Anticipate and communicate issues to leadership for timely solutions.
  • Delegate, mentor, and train Production Assistant(s).
  • Prepare review lists for dailies, meetings, and client/vendor reviews.
  • Support technical troubleshooting for reviews (Linux, Windows, Mac).
  • Coordinate dailies/shot reviews, take notes, and update Shotgrid.
  • Prioritize and escalate technical support issues.
  • Learn basic commands for file organization and shot submission.

What You’ll Do

The Production Coordinator is key to the smooth operation of our projects, primarily focusing on scheduling, communication, and coordination for a specific group (discipline) of artists (or multiple groups) on any given project. Reporting to the Project ("Show") Producer and Production Manager, you'll work alongside APMs and other Coordinators to maintain an efficient show schedule and positive artist experience. You'll partner directly with your discipline supervisor/lead to schedule and manage your artists' workload, assess crewing needs, and oversee their deliverables.

This role demands excellent organizational skills and the ability to balance multiple priorities, serving as a vital information source for the team. You'll also guide and delegate tasks to Production Assistants.

  • Maintain the processes established by the show for communicating discipline targets, assignments, and priorities to your discipline crew, as well as the overall show crew. This should be daily and/or weekly.
  • Serve as key communication liaison between all parties relevant to your work. Provide updates, priorities, reschedules, and status of all shots at any given moment.
  • Schedule, track, and manage assigned work within Shotgrid ensuring work is on schedule for each department and is meeting internal and external (client) timelines.
  • Check in with artists on a regular basis regarding workload, targets, needs, etc.
  • Track client needs, reviews and deliveries to make sure your team hits their targets.
  • If coordinating work from an external company, establish a process that fits with your production team, supervisors, and leads.
  • Keep PM (and/or APMs), other coordinators, and show leadership informed of any delays or issues that may affect the schedule.
  • Anticipate and communicate issues to leadership team(s) to reach solutions in a timely manner.
  • In collaboration with leadership, delegates, mentors, and train assigned Production Assistant(s).
  • Prepare review lists for dailies, meetings, and client/vendor reviews - and support live technical troubleshooting using abilities and knowledge across Linux, Windows, and Mac-based programs.
  • Act as primary point person for coordinating dailies/shot reviews throughout the day on behalf of your Supe/Lead. Take notes regarding feedback and decisions made and enter any required information into Shotgrid, communicate to all so as to provide updates to all others impacted.
  • Conference room, Viewstation and basic technical setup and troubleshooting (running generic scripts to resolve issues).
  • Prioritization and escalation of technical support issues.
  • Ability to learn basic commands required to assist artists in file organization, submitting shots and QC-ing movies.
  • Perform special projects as needed.
  • Additional responsibilities as needed on shows:
  • Must be able to recognize and report back to ILM production any changes to shots that affect the budget.
  • Serve as the main point person between the Production and VFX Editors. Discuss cut lengths, key frame numbers, editorial discrepancies and other specifics regarding film.

What We’re Looking For

  • Bachelor’s degree in Film, Art, Drama or related field or equivalent work experience required
  • Minimum of 2 years in the VFX Production environment or transferable skills from similar positions
  • Proficiency in Macs/PCs including GSuite, Word and Excel. Understanding of Linux required.
  • Proven ability to maintain flexibility, while juggling multiple priorities and adhering to strict deadlines
  • Must possess very strong organizational skills
  • Must have strong interpersonal communication skills
  • Keen collaborator who is proficient in working with diverse teams
  • Attention to detail and follow through
  • Ability to work on a computer/keyboard for long periods of time
  • Ability to work overtime on an ongoing basis

The hiring range for this position in San Francisco, CA is $57,500 to $75,500 per year.

The hiring range for this position in Burbank, CA is $52,200 to $68,500 per year.

The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
