Mapbox is seeking a Senior HR & Payroll Specialist to oversee accounting close, accounts payable, accounts receivable, tax, and treasury functions. Responsibilities include preparing payroll files for external providers, administering employee paperwork (benefits, onboarding, offboarding), managing tax affairs and statutory reports, handling legally required processes like stress checks and labor insurance, consulting on employment regulations, coordinating with financial institutions, managing vendor contracts, and providing visa support for overseas employees. The role also involves managing time and attendance, and leave administration. This position requires strong English and Japanese communication skills, experience with NetSuite and HRIS software, and the ability to work independently.
Must have:

What You’ll Do

  • Oversee the accounting close, accounts payable (payment requests, bank payments, etc.), accounts receivable (processing of customer invoices and uncollected balances), Tax, and Treasury

  • Prepare payroll files for remittance to our external payroll provider

  • Administer employee paperwork both in-person and electronically, including benefits enrollment, employment letters, onboarding and offboarding paperwork, and other ad hoc requests

  • Manage the organization's tax affairs, including and not limited to residence tax, year-end tax adjustment, statutory report for Income/withholding tax, in coordination with the external tax firm for specialist advice

  • Manage legally required processes, including and not limited to stress check, labour insurance premiums, Labour-management agreement renewal, and the Government national pension office survey

  • Consults with external counsel on employment regulations in the regions that we support and administers contract updates periodically

  • Coordinate with the company’s financial institutions on treasury-related matters

  • Manage contracts with contractors and vendors, and assist with requisitions and invoicing in our purchase order system

  • Visa support for employees visiting from overseas offices

  • Manage time and attendance, and leave administration/tracking

What We Believe are Important Traits for This Role

  • Strong English and Japanese communication skills (verbal and written), both with the internal customers and external providers

  • Experience with NetSuite and HRIS Software

  • Self-driven and can thrive as the only Ops Specialist in the company with minimal supervision

  • Experience working in a startup or a US-headquartered company is a plus

  • Experience in owning the Payroll processes, HR regulations, and policies is a plus

  • Nice to have but not required: Qualification of 第1種衛生管理者 (Class 1 Health Supervisor)
