Image Engine is a world-class VFX studio in Vancouver, BC, specializing in visual effects for feature films and television. The Senior VFX Coordinator is a critical role, acting as a liaison between the Production Manager and Department Teams. Responsibilities include ensuring artist productivity, organizing meetings, tracking shot status in Shotgrid, managing schedules, and mentoring junior coordinators. This role requires strong communication and organizational skills to ensure timely project delivery.
Must Have:
  • 3+ years of production experience coordinating feature film or TV.
  • Expert in project coordination and scheduling.
  • Knowledgeable in database management and production workflow.
  • Support artists for high productivity.
  • Organize department meetings and show reviews.
  • Take and distribute detailed meeting notes via Shotgrid.
  • Adhere to schedules with Production Manager and Supervisors.
  • Generate task schedules across multiple departments.
  • Assist in managing shot milestones.
  • Understand pipeline for show/shot requirements and dependencies.
  • Track all shots in the pipeline using Shotgrid.
  • Communicate team successes and challenges to Production Manager.
  • Deliver reports as requested.
  • Ensure artists have necessary information and materials.
  • Mentor new and current coordinators on best practices.
  • Facilitate interdepartmental communication.
  • Follow up on outstanding production issues.
  • Manage email and remote chat correspondence promptly.
  • Manage render priorities with Supervisors and artists.

Position Purpose

The Senior Coordinator position is a critical role in the workflow process for show delivery. The Coordinator will act as a liaison between the Production Manager and Department Teams to flag any issues which may delay workflow or shot delivery. They will promote interdepartmental communication to expedite completion. They will be on the pulse of all shots within their department and will communicate status report updates to the Production Manager when required.

The Senior Coordinator will mentor more junior Coordinators with regards to best practices to increase continuity across shows and departments. It is expected that a Senior Coordinator will take initiative for other duties and responsibilities when required.

Duties & Responsibilities

  • Provide ongoing support to ensure the highest productivity of the artists
  • Organize internal department meetings and show review sessions
  • Take and distribute detailed meeting notes via Shotgrid, and understand the impact of notes as it relates to the team and schedule.
  • Work with the Production Manager and Supervisors to adhere to schedule and keep schedules and artists on track
  • Able to generate task schedules based on milestones provided across multiple departments
  • Assist the Production Manager in Management of shot Milestones
  • Have substantial knowledge of the pipeline to understand general show/shot requirements and dependencies. Be able to use that experience and knowledge towards maintaining feasible schedules and working with the creatives productively (leads and supes).
  • Track the status of all shots in the pipeline, maintaining an accurate and up-to-date database in Shotgrid
  • Communicate successes and challenges faced by the team to the Production Manager, providing updates on team morale
  • Deliver reports as requested by Production Managers or Producer
  • Ability to confidently move from team to team (within a show or between shows) and maintain a high level of performance
  • Ensure artists have the information and materials required to complete their work efficiently
  • Mentor new coordinators and advise and guide current coordinators on IE’s best production practices
  • Facilitate communication between all departments
  • Follow up on any outstanding issues or concerns that may arise during a Production
  • Ensure all email & remote chat correspondence is up to date, responding to emails & messages in a timely manner
  • Work with the Supervisors and artists to manage render priorities
  • Provide support to new coordinators and PA’s

Education and Experience

  • 3+ years of solid production experience coordinating feature film or TV
  • Must be an expert project coordinator/scheduler
  • Must be extremely knowledgeable in database management and production workflow process

  • MS Excel skills
  • Shotgrid experience is required
