Job Description

We are seeking an Office & Facilities Lead to manage our Malta offices, ensuring efficient and welcoming operations. This role involves leading a dedicated team of Office & Facilities Coordinators and reception staff, coordinating efforts, setting priorities, and taking a hands-on approach to execution. You will also manage outsourced maintenance teams to ensure high-quality service and operational efficiency, contributing to a successful workplace environment.
Must Have:
  • Lead the team of Facilities & Office coordinators and reception support
  • Manage team coverage in our two offices in Malta
  • Oversee Office Operations & Administration
  • Manage contracts and relationships with service providers (cleaning, catering, maintenance)
  • Maintain oversight of all office facilities, equipment, and infrastructure
  • Lead preventative maintenance, repairs, and upgrades
  • Ensure compliance with health, safety, and environmental standards
  • Negotiate and manage vendor contracts for quality service and cost efficiency
  • Monitor budgets, invoices, and expenses related to office operations and facilities
  • Track and report on facility performance metrics and cost savings initiatives
  • Partner with HR and leadership to foster a welcoming and collaborative work environment
  • Support planning and execution of office events, meetings, and employee engagement activities
  • Minimum of 4 years experience in office management/facilities or workplace operations
  • Minimum of 2 years experience managing flagship or high-profile corporate properties
  • Bachelor’s degree in Business Administration, Facilities Management, or related field (or equivalent experience)

You will be responsible for the maintenance and continuous improvement of our offices in Malta. What we are looking for

  • Bachelor’s degree in Business Administration, Facilities Management, or related field (or equivalent experience).
  • Minimum of 4 years experience in office management/facilities or workplace operations.
  • Minimum of 2 years experience managing flagship or high-profile corporate properties.
  • Strong knowledge of workplace safety, compliance regulations and building operations.
  • Strong leadership and problem-solving skills.
  • High attention to detail and ability to prioritise effectively.
  • Collaborative mindset with a service-oriented approach.
  • Ability to anticipate needs and proactively address issues.
  • Strong financial acumen and budget management capability.
