Job Description

This Operations Analyst position involves supporting the assurance of contractual compliance between the client and its suppliers, as well as ensuring the availability of goods contracts for the SUPPLY area's demanders. Responsibilities include analyzing and reporting contract status, verifying and correcting contractual issues, monitoring contract performance, processing necessary contractual changes, and supporting contract negotiations and closure activities.

  • Statistics (ability to produce and interpret dispersion measures, descriptive analysis, and graphs)
Must Have:
  • Proven experience in supply or related areas in medium or large companies
  • Higher education level
  • Proficiency in vernacular language and technical writing skills
  • Advanced Office Suite (Word, Excel, PowerPoint)
  • Knowledge of SAP system and its derivations (Ariba, 4HANA, YARD, etc)
  • Knowledge of Petronect Portal

Act by performing support activities to ensure compliance with contractual clauses established between the Client and its suppliers, as well as the availability of goods contracts for the demanders of the SUPPLY area.

MANDATORY REQUIREMENTS

  • Proven experience in a formal employment contract (or other type of employment contract), working in the supply or related area, in medium or large companies.

EDUCATION

  • Higher Education Level.

MANDATORY KNOWLEDGE

  • Proficiency in the vernacular language and technical writing skills;
  • Advanced Office Suite (Word, Excel, and PowerPoint);
  • SAP system and its derivations (Ariba, 4HANA, YARD, etc);
  • Petronect Portal.

COMPLEMENTARY KNOWLEDGE

  • Basic knowledge of Power BI;

RESPONSIBILITIES

  • Receive, analyze, and report to the responsible areas the status of received contracts;
  • Verify and correct and/or report to the responsible areas issues related to taxes, delivery and payment conditions, technical specification of materials, and other contractual conditions;
  • Monitor, analyze, and present a monthly report on the contract situation (history of occurrences, consumption, balance, served areas, supplier performance, claims);
  • Timely carry out necessary contractual changes, such as: PPU update, price adjustments, balance recomposition, term addendums, value addendums, and/or other necessary addendums, both in documents, reports, and spreadsheets, as well as in SAP and other systems;
  • Check and approve activities for which the Client defines double or triple checking, such as: price adjustments, addendums, and others;
  • Receive, analyze, and control requests and claims, as well as gather history and documents/evidences; execute necessary actions to meet the request and/or claim and draft responses for validation and subsequent sending to suppliers and/or demanding areas, such as: due diligence, audit, control bodies, and others;
  • Keep contract information and occurrence records updated and organized;
  • Support contractual negotiations with suppliers;
  • Organize, participate, mediate, and record meetings with suppliers and/or demanding areas, as well as monitor and/or execute the defined action plan;
  • Draft inquiries and requests to the Legal, Financial, Tax, Guidance, and other areas, regarding contracts;
  • Review purchase orders with reference to the contract;
  • Ensure the availability of contracts;
  • Support in the execution of activities related to contract closure, as well as in the archiving of its documentation;
  • Establish integration actions with planning areas, with the aim of subsidizing new contracts with improvement points identified in the contractual management process;
  • Support and participate in on-site technical visits to suppliers and demanding areas, when requested;
  • Monitor, control, and act to ensure that containers, packaging, cylinders, skids, metal boxes, coils, containers, and/or other cargo handling equipment and/or materials are delivered to the destination and returned to the supplier in a timely manner, as well as perform necessary controls in the operation, including payment to the supplier;
  • Other activities necessary to support the management of operational and/or investment goods contracts.
