Job Summary
FutureWorks Media is seeking a highly organized, proactive, and dynamic Admin Assistant to the CEO. This role involves providing comprehensive support to the CEO in a high-growth, fast-paced environment. Key responsibilities include managing the CEO's calendar, appointments, travel, and correspondence, as well as preparing documents and acting as a liaison. The position requires exceptional communication, attention to detail, and discretion in handling sensitive information, ensuring the smooth operation of daily activities.
Must Have
- Manage CEO’s calendar, appointments, travel, and correspondence
- Prepare and review documents, presentations, and reports
- Act as a liaison between CEO and internal/external stakeholders
- Coordinate executive meetings, board sessions, and leadership events
- Handle confidential information with discretion
- Support project management initiatives and track progress
- Conduct research and compile data for decision-making
- Draft communications, memos, and briefing materials
- Assist in monitoring operational performance and follow up on deliverables
- Represent the CEO’s office with professionalism and integrity
- Bachelor’s degree in Business Administration, Management, or related field
- Minimum of 5–8 years’ experience in executive or senior administrative support, preferably at the C-suite level
- Excellent communication, writing, and interpersonal skills
- Strong organizational and time-management abilities with keen attention to detail
- High level of discretion and professionalism in handling sensitive information
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with collaboration tools (Teams, Slack, Asana, etc.)
- Ability to work independently, anticipate needs, and take initiative

You will play a critical role in ensuring the smooth operation of the CEO's daily activities, including scheduling and correspondence.
Job requirements
- Manage and maintain the CEO’s calendar, appointments, travel arrangements, and correspondence.
- Prepare and review documents, presentations, and reports for executive meetings and external engagements.
- Act as a liaison between the CEO and internal/external stakeholders, ensuring timely and accurate communication.
- Coordinate executive meetings, board sessions, and leadership events — including agenda preparation, minute-taking, and follow-up actions.
- Handle confidential information with discretion and maintain strict confidentiality in all matters.
- Support project management initiatives and track progress on key organizational priorities.
- Conduct research and compile data to support executive decision-making and strategic planning.
- Draft communications, memos, and briefing materials on behalf of the CEO.
- Assist in monitoring operational performance and follow up on deliverables from senior management.
- Represent the CEO’s office with professionalism and integrity, both internally and externally.
Required Qualification:
- Bachelor’s degree in Business Administration, Management, or related field (Master’s preferred).
