Job Description

This role is for a highly skilled and professional assistant to the Chief Executive Officer, based in Wrocław, Poland. The assistant will manage daily operations, coordinate high-level meetings, and ensure the smooth running of the CEO's office. Key responsibilities include calendar management, handling communications, preparing reports, organizing travel, managing expenses, and assisting with corporate events, all while maintaining discretion with confidential information.
Good To Have:
  • Bachelor's degree in Business Administration, Communications, or related field.
  • Ability to use AI tools to optimize and automate daily tasks.
  • Understanding of the gaming/entertainment industry.
Must Have:
  • Manage CEO's calendar, appointments, and travel.
  • Act as primary contact for internal and external stakeholders.
  • Prepare correspondence, presentations, and reports.
  • Organize and maintain filing systems.
  • Coordinate complex international travel.
  • Manage expenses and prepare reports.
  • Assist in board meetings and corporate events.
  • Handle confidential information with discretion.
  • Anticipate CEO's needs and proactively solve problems.
  • Liaise with executives, board members, and key stakeholders.
  • Perform ad hoc projects and research.
  • Exceptional organizational and time management skills.
  • Strong proficiency in Google Workspace and Microsoft Office.
  • Excellent verbal and written communication in English and Polish.
  • Self-confidence and assertiveness in communication.
  • Skilled in managing financial budgets.
  • Familiarity with accounting systems.
  • Strong analytical and problem-solving abilities.
  • Proven experience in calendar management and travel planning.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Attention to detail and commitment to high-quality work.
  • Experience in a corporate environment.
  • Driving license (cat B).

Job Description

We are seeking a highly skilled and professional assistant to join our team. As the right hand to our Chief Executive Officer, you will play a crucial role in managing day-to-day operations, coordinating high-level meetings, and ensuring the smooth running of the CEO's office.

Your daily tasks:

  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for internal and external stakeholders, handling communications on behalf of the CEO.
  • Prepare and edit correspondence, presentations, and reports.
  • Organize and maintain filing systems.
  • Coordinate complex travel itineraries, including international trips.
  • Manage expenses and prepare expense reports.
  • Assist in the preparation of board meetings and other high-level corporate events.
  • Handle confidential and sensitive information with the utmost discretion.
  • Anticipate the CEO's needs and proactively solve problems.
  • Liaise with other executives, board members, and key stakeholders.
  • Perform ad hoc projects and research as assigned by the CEO.

Qualifications

  • Exceptional organizational and time management skills.
  • Strong proficiency in Google Workspace and Microsoft Office tools.
  • Excellent verbal and written communication skills in English and Polish.
  • Ability to handle confidential information with discretion.
  • Demonstrating self-confidence and assertiveness in effective communication.
  • Skilled in overseeing and managing assigned financial budgets.
  • Familiarity with accounting systems, including invoice reconciliation and cost allocation capabilities.
  • Strong analytical skills and problem-solving abilities.
  • Proven experience in calendar management and travel planning.
  • Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
  • Attention to detail and commitment to delivering high-quality work.
  • Experience working in a corporate environment and understanding of business operations.
  • Ability to anticipate needs and take initiative.
  • Driving license (cat B).
