Job Description

This role involves managing and archiving documentation in physical and digital formats, ensuring compliance with internal standards and TCU guidelines. Responsibilities include technical support for document verification, formatting, classification, registration, scanning, and printing. The analyst will also review technical documentation against specific standards (N-1710, N-381, N-2064), identify inconsistencies, and manage document revisions within the client's EDMS. Regular verification of document lists from contractors and subcontractors, reporting deviations, and active participation in meetings are also key aspects of the role, ensuring all contractual requirements are met.
Must Have:
  • 3 years of proven experience in documentation analysis
  • Experience with Electronic Document Management Systems (EDMS)
  • Experience in structuring and organizing physical and electronic files
  • Proficiency in MS-Office Suite
  • Proficiency in Acrobat Professional
  • Technical degree in Administration, Library Science, or Secretarial Studies
  • Archiving documentation in physical and digital media according to norms and internal systems
  • Providing technical support for document verification, formatting, classification, registration, scanning, and printing
  • Analyzing technical documentation with focus on N-1710, N-381, and N-2064 standards
  • Registering documents and revisions in the client's specific EDMS
  • Verifying and analyzing document lists from contractors and subcontractors
  • Elaborating reports highlighting deviations
  • Participating in meetings with EPCIsta
  • Controlling all received documentation and preparing specific reports
  • Proactively ensuring all contractual requirements are met

MANDATORY REQUIREMENTS

EXPERIENCE

  • 3 (three) years of proven experience in the role;
  • Experience in using Electronic Document Management Systems (EDMS);
  • Experience in structuring and organizing physical and electronic files;
  • Proficiency in MS-Office Suite;
  • Proficiency in Acrobat Professional.

EDUCATION

  • Education Level: Technical degree in Administration, Technical degree in Library Science, or Technical degree in Secretarial Studies.

RESPONSIBILITIES

  • Archiving documentation (according to norms, internal systems, and TCU guidelines) regularly in physical and digital media;
  • Technical support and execution of verification, formatting, classification, registration, scanning, printing, and archiving of documents;
  • Analysis of technical documentation, focusing on N-1710, N-381, and N-2064 standards, indicating and diligently addressing mapped inconsistencies;
  • Registration of documents and revisions in the specific EDMS (Electronic Document Management System) used by the CLIENT;
  • Periodic verification and analysis regarding the EPCIsta's planning of the document list of the company signatory to the contract for project execution and/or its subcontractors, in addition to corporate electronic document management systems, and preparation of reports highlighting key points of attention regarding deviations;
  • Participate in meetings with EPCIsta;
  • Control of all received documentation and preparation of specific reports;
  • Act proactively to ensure all requirements of the contractual annexes are met.
