This role involves performing various administrative, organizational, financial, operational, and project-related activities to support senior and executive-level staff. The successful candidate will handle confidential information, coordinate with stakeholders, prepare for and record meeting minutes, manage calendars, travel arrangements, and expense reports. Responsibilities also include data analysis for presentations, managing records, collaborating on budget planning, and driving various 'Great plan to work' activities, education sessions, team building, and large-scale events.
Must Have:
  • Minimum 5 years of experience as an administrative assistant supporting senior executives in a global environment
  • Strong people and teamwork skills, with ability to drive teamwork as participant and team lead
  • Excellent verbal and written communication skills in both Hebrew and English
  • Experience in MS Office tools including SharePoint and PowerPoint
  • Experience with managing Outlook and scheduling
  • Excellent customer support skills
  • Attention to detail, self-driven, and strong initiative
  • Ability to self-manage and function with minimal supervision in an interrupt-driven environment

Job Description:

what you will do?

Performs various administrative, organizational, financial, operational, and project related activities in support of senior and executive level staff. Provides advanced support to senior executives by regularly handling confidential information and performing advanced administrative support. Coordinates work and communication with stakeholders. Helps prepare for meetings and accurately records minutes from the meetings. Provides real-time scheduling support by booking appointments and preventing conflicts. Manages calendars, travel arrangements and expense reporting for one or more executives or managers. Collects data and conducts data analysis to prepare documents for review and presentation by boards of directors, committees, and executives. Manages records databases. Collaborates with administrative and/or operational staff to exchange data and information that enables budget planning and expense control. Builds administrative community, provides learning and training opportunities for other administrative support staff. Initiates, drives and executes various activities including “Great plan to work” activities, education sessions, team building sessions, FTF meetings, and other large scale events.

Qualifications:

  • Wide experience (min 5 years) as an administrative assistant supporting senior executives working in a global environment including their teams.
  • Strong people and teamwork skills, and ability to drive teamwork both as a participant and as a team lead.
  • Excellent verbal and written communication skills in both Hebrew and English.
  • Experience in MS Office tools including SharePoint and PowerPoint.
  • Experience with managing outlook and scheduling.
  • Excellent customer support skills.
  • Attention to detail, self driven and with strong initiative.
