Provide high-level executive and organizational support to the Head of Marketing, Image Guided Therapy Systems (IGT-S). The Executive Assistant will act as a trusted partner, demonstrating professionalism, discretion, and autonomy to ensure smooth operations and alignment with business priorities, including calendar management, travel coordination, and stakeholder liaison.
Must Have
- Partner with the Head of Marketing IGT-S in managing strategic and operational priorities
- Serve as a liaison between the executive, internal and external stakeholders
- Manage the executive’s complex calendar, ensuring prioritization and alignment with strategic goals
- Coordinate meetings with global stakeholders, prepare materials, agendas, minutes and ensure timely follow-ups
- Plan and oversee complex travel arrangements, including visa applications, accommodations and logistics
- Organize high-profile meetings, customer visits and internal or external events
- Prepare and maintain reports, presentations, executive summaries and other business documents
- Support in collecting and analyzing data to enable informed decision-making
- Process and review expense reports, monitor budgets and provide financial insights
- Draft and distribute global and internal announcements, ensuring clarity and consistency of messaging
- Identify and propose improvements to administrative and operational processes
- Partner closely with assistants across IGT Systems to ensure aligned support to leadership

You will play a critical role in managing complex operational, administrative and strategic activities within a dynamic, international environment. As a trusted partner, you will act with professionalism, discretion and autonomy to ensure smooth operations and alignment with business priorities.
Your role:
- Executive Support: Partner with the Head of Marketing IGT-S in managing strategic and operational priorities by anticipating needs, coordinating key deliverables and ensuring efficient execution of business objectives.
- Stakeholder Management: Serve as a liaison between the executive, internal and external stakeholders, demonstrating strong judgment, diplomacy and confidentiality in managing sensitive information.
- Calendar and Meeting Management: Manage the executive’s complex calendar, ensuring prioritization and alignment with strategic goals. Coordinate meetings with global stakeholders, prepare materials, agendas, minutes and ensure timely follow-ups.
- Travel & Event Coordination: Plan and oversee complex travel arrangements, including visa applications, accommodations and logistics. Organize high-profile meetings, customer visits and internal or external events, ensuring seamless execution.
- Operational Excellence: Prepare and maintain reports, presentations, executive summaries and other business documents. Support in collecting and analyzing data to enable informed decision-making.
- Budget and Expense Management: Process and review expense reports, monitor budgets (including travel and operational costs) and provide financial insights to support cost optimization.
- Communication: Draft and distribute global and internal announcements, ensuring clarity and consistency of messaging across the department. Support internal communication initiatives and act as a point of contact for cross-functional updates.
- Process and Continuous Improvement: Identify and propose improvements to administrative and operational processes to enhance efficiency and effectiveness within the executive office and broader marketing organization.
- Team Collaboration and Support: Partner closely with assistants across IGT Systems to ensure aligned support to leadership. Provide guidance or mentorship to junior team assistants when needed.
You're the right fit if you have the following skills and experience:
- You hold a Bachelor’s degree or equivalent education, preferably in business administration or a related discipline.
- You have at least 5 years of experience as an executive assistant or similar role in an international, matrixed organization.
- You demonstrate exceptional organizational skills, the ability to anticipate needs and a strong sense of ownership.
- You are proactive, resourceful and discreet, capable of handling highly confidential information.
- You possess excellent communication skills in English (both written and spoken). Proficiency in Dutch is an advantage.
- You are proficient in Microsoft Office 365 and collaboration tools (Outlook, Teams, PowerPoint, Excel, SharePoint).
- You are flexible, customer-focused, and thrive in a dynamic, fast-paced environment.
