The Executive Assistant I, GTM provides administrative support to the Chief Revenue Officer and other C-Suite Staff, managing issues related to people and processes with minimal supervision. Key responsibilities include calendar management, travel arrangements, expense reporting, and facilitating communication with internal and external stakeholders.
Must Have:
  • Facilitate and manage executive accessibility and communication
  • Manage and maintain executive calendars in G-Suite
  • Prepare domestic and international travel arrangements and itineraries
  • Prepare, review, submit, and track executive expense reports
  • Organize and maintain confidential files and documents
  • Create and maintain reports, spreadsheets, and other necessary documents
  • Interact and communicate with all levels within the company
  • Perform research, collect materials, and maintain files for executive communications
  • Bachelor’s degree or equivalent experience
  • 5+ years of progressive administration experience
  • Strong experience with G-Suite, Microsoft Word, Excel, Outlook, and PowerPoint
  • Demonstrated excellent verbal and written communication skills
  • Experience managing multiple demands, details, and deadlines
  • Experience working with a global team
  • Working knowledge of company organizational structures and policies
  • Experience with project coordination and budget tracking

Job Summary: The role applies an understanding of business processes, gathers data, makes recommendations and provides administrative support to the Chief Revenue Officer and other assigned C-Suite Staff members, as assigned; assists executives by managing issues related to people and processes with minimal supervision. Job Duties and Responsibilities: * Facilitates and manages the Executive's accessibility and open lines of communication with staff; interfaces with internal and external customers on behalf of Executive and company * Meets regularly with Executive(s) to review status of projects; plan key events, meetings and travel and prioritize open action items * Oversees the Revenue team's operating calendar, helping senior Sales leaders plan and execute their QBRs, MBRs, etc. * Manages and maintains the Executive’s calendar in G-Suite; applies understanding of executive priorities in scheduling meetings * Prepares travel arrangements (domestic and international) and creates detailed itineraries; may also arrange travel for visiting executives and VIPs * Prepares, reviews, submits and tracks Executive's expense reports * Organizes and maintains confidential files for the Executive; identifies and drives best practices related to document management and confidential data * Creates and maintains reports, spreadsheets, and other necessary documents in response to anticipation of executive's needs; screens, prioritizes and redirects/forwards phone calls; manages call-back list; responds to callers with routine requests, as well as those requiring additional research and investigation * Interacts and communicates with all levels within the company; develops effective networks with peers throughout Reltio, as well as external professional groups * Collaboratively performs research, collects materials, and maintains files which include relevant collateral and other information used by the executive in communications; takes and notes from meetings, identifies action items and schedules reminders for the executive * Maintains department organization charts and email groups * Works with peers to execute approved project activities * Enters tracks and processes departmental expenses and invoices for payment with peers to understand and enhance the value of the EA role * Provides support and acts as back up for other Executive Assistants as needed * Other duties and responsibilities as may be assigned Skills You Must Have: * Bachelor’s degree or equivalent experience * 5+ years of progressive administration experience, with most recent position supporting and their departments * Strong experience working in G-Suite, Microsoft Word, Excel, Outlook, and PowerPoint required * Demonstrated excellent verbal and written communication skills, and experience drafting and correspondence to a diverse audience * Experience managing multiple and changing demands, details, and deadlines * Experience working with a global team * Working knowledge of company organizational structures, terminology, and policies and experience with and/or working knowledge of functions, terminology, and policies procedures applicable to assigned department * Experience with project coordination and budget tracking
