Job Description

As a Mailroom Administrative Assistant, you will be crucial to managing all incoming and outgoing mail operations with precision, including sorting, filing, and tracking client mail in CRM and spreadsheets. You will also provide administrative support to the Renewals team, ensuring smooth processes and supporting client compliance. This role is essential for maintaining efficient operations and making a real difference in the company's daily functions.
Good To Have:
  • At least 6 months of administrative or mailroom experience.
  • Familiarity with Microsoft Office (Outlook, Excel, Word) and CRM software.
Must Have:
  • Manage all incoming and outgoing mailroom operations.
  • Track client correspondence for Registered Agent services.
  • Maintain client records and communication logs in CRM and Excel.
  • Provide administrative support to the Renewals Processing Team.
  • Ensure accurate logging and forwarding of time-sensitive legal documents.
  • Coordinate internal mail and document handling.
  • Generate reports on mail processing and document tracking.
  • Provide general office and clerical support.
  • Process registered agent mail and track annual reports/renewal audits.
  • Communicate with clients via phone and email.
  • Possess a High School diploma or GED.
  • Have a valid Driver's license and reliable transportation for local Reno travel.
  • Demonstrate computer and copy skills.
  • Exhibit strong attention to detail and organizational skills.
  • Possess effective communication skills.
  • Maintain a professional demeanor, reliability, and punctuality.
  • Ability to work independently and follow instructions.

Overview

As our Mailroom Administrative Assistant, you’ll be the backbone of our mail operations, managing all incoming and outgoing correspondence with precision. By accurately sorting, filing, and tracking client mail in our CRM and spreadsheets, you ensure nothing slips through the cracks. In addition to handling mail, you’ll provide valuable administrative support to the Renewals team, helping keep processes running smoothly. This important behind-the-scenes role is essential to maintaining efficient operations and supporting client compliance, making a real difference in how our company functions every day!

This position will be located in our Reno, NV office.

You will

● Manage all mailroom operations: receiving, sorting, scanning, distributing, and filing.

● Track client correspondence for Registered Agent services.

● Maintain client records and communication logs in CRM and Excel.

● Assist the Renewals Processing Team with data entry, file organization, and correspondence.

● Ensure accurate logging and forwarding of time-sensitive legal documents, including certified mail and service of process.

● Coordinate internal mail and document handling with other departments.

● Generate reports on mail processing and document tracking.

● Provide general office and clerical support.

● Process registered agent mail and track annual reports/renewal audits.

● Communicate with clients via phone and email.

You have

● At least 6 months of administrative or mailroom experience (preferred).

● Strong attention to detail and organizational skills.

● Familiarity with Microsoft Office (Outlook, Excel, Word) and CRM software (preferred).

● Effective communication skills in a team environment.

● Professional demeanor, reliability, and punctuality.

● Ability to work independently and follow instructions.

● High School diploma or GED (required).

● Valid Driver's license and reliable transportation for local Reno travel.

● Computer and copy skills (required).

Actual compensation will depend on several factors but the annual average compensation is around $35,360.
