The role requires rigor, tact, and discretion, with an objective to develop high autonomy over the contract period.
Must Have
- Resolve simple and common problems and perform assigned tasks.
- Implement logistical processes for activity delivery.
- Respond to employee information requests and manage daily queries.
- Perform administrative tasks and data entry for activities.
- Ensure physical and electronic document management.
- Handle internal client invoicing and accounting follow-up.
- Support management with agenda, logistical support, and coordination.
- Support the management committee with expense reports and follow-ups.
- Organize internal meetings and events, including logistics and materials.
- Manage or coordinate orders for lunch boxes, catering, accommodation, and supplies.
- Update reference documents like organizational charts.
- Manage or distribute local parking permits.
- Propose simple improvements to administrative or logistical processes.
- Identify solutions to save time, reduce friction, or improve employee experience.
- Contribute to documenting or standardizing operational steps.

Ubisoft Sherbrooke is looking for an Operations Coordinator to support management in the daily running of the studio. This role plays an essential part in the fluidity of our operations, the quality of our spaces, and the employee experience.
We are looking for someone reliable, organized, with an excellent sense of service, sociable, and professional in their welcome. A person who likes to help, pay attention to details, and who wishes to contribute to the smooth functioning of the studio — without aiming for a management position.
The role requires both rigor, tact, and a certain level of discretion, as the person may be exposed to sensitive information.
Over the course of the contract, the objective is for the person to develop a high degree of autonomy within a clear framework. The first few months will mainly focus on familiarizing themselves with the studio's operations.
What you will do
- Solve simple and common problems and perform assigned tasks.
- Implement logistical processes facilitating the delivery of activities.
- Respond to employee information requests and manage daily requests.
- Ensure administrative tasks related to the delivery of various activities.
- Perform data entry and produce statistical reports.
- Ensure physical and electronic document management.
- Ensure internal client invoicing and follow up with accounting.
- Support management in daily operations (agenda, logistical support, coordination).
- Support the management committee (expense reports, follow-ups, ad hoc requests).
- Organize certain internal meetings and events (logistics, equipment, post-event follow-up).
Logistics and internal services
- Manage or coordinate certain orders (lunch boxes, catering, accommodation, supplies).
- Update certain reference documents such as organizational charts.
- Manage or distribute local parking permits.
Continuous improvement

Qualifications
What you will bring
- College diploma (DEC) or equivalent training.
- Minimum 3 years of experience in coordination or other relevant experience.
- An approach oriented towards the needs of internal clients.
- Reliability, consistency, and a high sense of service and professionalism.
- Sense of organization, ability to manage several varied small tasks simultaneously.
- Comfortable in interactions, welcoming, polite and respectful, with awareness of the necessary discretion.
- Ability to interact with interlocutors of all hierarchical levels.
- A sense of urgency, autonomy, and resourcefulness.
- The desire to support, organize, and concretely contribute to the smooth functioning of the studio.
- Good knowledge of Word and Excel software.
- Familiarity with collaborative suites (asset).
- Basic knowledge of the video game industry (asset).
