As an Operations Coordinator at realworld one in our Indian office, you will be responsible for ensuring smooth executive support, finance administration, and daily business operations. Working directly with the Managing Director, you will coordinate financial processes, manage vendor relationships, and oversee office administration to keep everything running reliably and efficiently. Beyond organizational and financial tasks, you will also play a vital role in shaping the office environment by organizing team activities, events, and daily office needs that foster a positive and engaging workplace culture. This role combines organizational, administrative, and cultural responsibilities, making you a trusted partner who ensures accuracy, structure, and discretion across all areas of operation.
Responsibilities
- Oversee the day-to-day administration of finance, executive support, and office operations for the Indian office.
- Manage invoices, including accurate uploading, tracking, and maintaining financial records.
- Coordinate with Finance and Accounting teams to ensure timely processing of payments.
- Maintain and track vendor agreements, ensuring compliance, accuracy, and timely renewals.
- Provide executive-level support to the Managing Director and other team members, including scheduling, reporting, and travel logistics.
- Organize meetings, including international visitor arrangements and on-site requirements.
- Plan and support office initiatives and team events that foster a positive workplace environment.
Qualifications
- Bachelor’s degree in Business Administration, Commerce, or a related field (or equivalent practical experience).
- 3-5 years of experience in administrative, finance, or executive support roles.
- Proven experience in invoice processing, vendor management, or finance administration.
- Strong organizational and time management skills with excellent attention to detail.
- Proficiency in MS Office and Google Workspace (Docs, Sheets, Slides).
- Effective written and verbal communication skills.
- Ability to handle confidential information with professionalism and discretion.
- Demonstrated problem-solving skills with a proactive and ownership-driven mindset.
- Experience working directly with senior leadership or executives in a dynamic environment.
