Job Summary
We are seeking a Partner Program Administrator to support SailPoint’s Professional Services partner program. This role acts as a liaison between Procurement Contracts, PS Operations, Resource Management, and partner organizations to optimize business processes. Key responsibilities include managing procurement contracts, purchase orders, and time tracking activities for over 70 partners and individuals, ensuring efficiency and compliance within the program.
Must Have
- Manage white shirt forecasts and project assignments, availability, extensions, codes, rates, and reports.
- Oversee all processes related to white shirt timecards, including notifications and follow-ups.
- Review Coupa PO reports weekly to verify funds for WS resources and notify of change requests.
- Prepare all sub-sow contracts, submit to procurement, and facilitate review through final signatures.
- Prepare all new SOWs and SOW renewals and work with HR and Procurement to finalize.
- Facilitate HR onboarding/new hire orientation for new resources in AMS/EMEA region.
- Proficiency in English and Spanish.
- 3-5 years of experience in an Analyst role with emphasis on contract management and data reporting.
- Bachelor's degree in IT, sales, or marketing discipline (or equivalent industry experience).
- Experience with procurement automation tool, Coupa.
- Strong analytical, problem-solving, and attention to detail.
- Aptitude to understand complex business processes.
- Proven skills at cultivating strong working relationships and working well within a team.
- Excellent verbal and written communication skills.
Good to Have
- Experience with business tools such as Certinia, Smartsheet, Jira, and Salesforce.

What You’ll Do:
We are looking for a Partner Program Administrator to support SailPoint’s Professional Services partner program. This important role will act as the liaison between Procurement Contracts, PS Operations, Resource Management, as well as our partner organizations ensuring that our business processes are optimized for success. This person will manage all procurement contracts, purchase orders, and time tracking activities for 70+ partners and individuals.
In the first three months, you will assume responsibility for overseeing the timesheet process. This includes implementing a system to proactively send reminders and track down late submissions. To prepare for future responsibilities, you will also begin familiarizing yourself with additional partner management tools and systems.
Within six months, you will have optimized the timesheet process to improve efficiency and accuracy. You will also provide training and support to team members to ensure compliance with timesheet procedures. Additionally, you will take on a significant portion of partner relationships, including onboarding new partners, reviewing contracts, and managing forecasts.
By the end of your first year, you will have become a subject matter expert on timesheet processes and procedures. You will be able to independently manage both existing and new partner relationships, including handling any escalations that may arise. Your expertise in partner management and compliance will make you a recognized authority within the organization.
Essential Duties and Responsibilities
- Manage white shirt forecasts and work with the RMO on new project assignment, WS availability, WS project extensions, project code assignment, WS rates, and provide forecast reports to participating WS partners on a weekly basis. There are over 100 existing WS and over 25 partners and growing with the new HCL partnership.
- Oversee all processes related to white shirt timecards. This includes weekly email & slack notifications & continued follow up (for all regions) until timecard is submitted. Submit Jira requests to ops to with late timesheet data, or for corrections to previous timesheets. There are over 80+ WS timesheets submitted weekly.
- WS Purchase Orders – weekly review of Coupa PO report to verify WS resources have funds needed to cover project work. Notify of change request to add funds. Notify partners of any change request for funding updates. There are 100+ POs to manage and growing.
- Sub-Sows (non-WS) Prepare all sub-sow contracts, submit to procurement, and facilitate review between SP PS / procurement & partner through final signatures. This is 5+ contracts a month. This will grow with the Accenture & HCL migration initiatives.
- SOWs (WS) – prepare all new SOWs and SOW renewals and work with HR and Procurement to finalize. There are 15+ per month and growing.
- Facilitate the HR onboarding/ new hire orientation for all new resources for white shirt and partner pass through projects in the AMS/EMEA region. With the new partnership with HCL included this will be between 30-60 new resources.
Minimum Requirements
- English and Spanish proficiency
- 3-5 years of previous experience in an Analyst role with emphasis on contract management and data reporting
- A Bachelor's degree in an IT, sales, or marketing discipline (or equivalent industry experience)
- Experience with procurement automation tool, Coupa.
- Experience with business tools such as Certinia, Smartsheet, Jira, and Salesforce preferred.
- Strong analytical, problem solving, and attention to detail are essential, along with the ability to identify issues and develop sound, practical, and creative solutions
- Aptitude to understand complex business processes
- Proven skills at cultivating strong working relationships and working well within a team to learn and share knowledge
- Excellent verbal and written communication skills, and ability to comprehensively and clearly present strategic issues and solutions
