Job Summary

As a Payroll Manager (US) at NScale, you’ll oversee all aspects of payroll operations, compliance, and administration for our U.S. employees. You’ll be responsible for ensuring accurate and timely payroll processing, tax filings, and compliance with federal, state, and local regulations. You’ll partner closely with HR, Accounting, and external vendors to maintain flawless payroll execution, streamline processes, and ensure compliance with evolving legislation. This role requires flexibility, ownership, and a hands-on approach across all aspects of accounting, contributing to building processes for long-term growth.

Must Have

  • Oversee end-to-end payroll processing for U.S. employees.
  • Manage federal, state, and local payroll tax filings.
  • Liaise with payroll service providers (e.g., ADP).
  • Conduct regular audits of payroll data.
  • Develop and implement scalable payroll processes and controls.
  • Prepare payroll-related reports and metrics.
  • Stay current on U.S. payroll laws, multi-state taxation, and labor regulations.
  • Respond to employee inquiries related to pay, deductions, and benefits.
  • Partner with HR and Accounting on employee onboarding/offboarding.
  • Bachelor’s degree in Accounting, Finance, Human Resources, or a related field.
  • 5+ years of progressive experience in U.S. payroll management or administration.
  • In-depth knowledge of federal and state payroll regulations, tax laws, and wage/hour compliance.
  • Experience managing payroll across multiple states (multi-jurisdiction).
  • Strong technical proficiency in payroll software.
  • Advanced Excel skills for data analysis and reconciliation.

About the Role

As a Payroll Manager (US) at NScale, you’ll oversee all aspects of payroll operations, compliance, and administration for our U.S. employees. You’ll be responsible for ensuring accurate and timely payroll processing, tax filings, and compliance with federal, state, and local regulations.

You’ll partner closely with HR, Accounting, and external vendors to maintain flawless payroll execution, streamline processes, and ensure compliance with evolving legislation. This role is ideal for someone who thrives in a fast-paced, high-growth environment and takes pride in operational accuracy and efficiency.

We are a growing business, so this role will require flexibility, ownership, and a hands-on approach across all aspects of accounting. You’ll be trusted to lead core processes while collaborating with colleagues across departments to ensure financial accuracy, compliance, and efficiency. You’ll help build the processes that support our long-term growth.

What You’ll be Doing

  • Oversee end-to-end payroll processing for U.S. employees, ensuring accuracy, timeliness, and compliance with all applicable laws.
  • Manage federal, state, and local payroll tax filings, including quarterly and annual returns (e.g., 941s, W-2s, and 1099s) for any not handled by PEO provider; coordinate responses to any state or federal payroll tax notices
  • Liaise with payroll service providers (e.g., ADP) to resolve issues, implement updates, and maintain data integrity.
  • Conduct regular audits of payroll data, benefits deductions, and tax withholdings to ensure accuracy.
  • Develop and implement scalable payroll processes and controls to support company growth.
  • Prepare payroll-related reports and metrics for Finance and HR leadership; support month-end close with payroll journal entries and reconciliations.
  • Stay current on U.S. payroll laws, multi-state taxation, and labor regulations; ensure adherence to wage and hour laws.
  • Respond to employee inquiries related to pay, deductions, and benefits with accuracy and professionalism.
  • Partner with HR and Accounting on employee onboarding/offboarding, benefits administration, and equity compensation reporting.

About You

  • Bachelor’s degree in Accounting, Finance, Human Resources, or a related field
  • 5+ years of progressive experience in U.S. payroll management or administration
  • In-depth knowledge of federal and state payroll regulations, tax laws, and wage/hour compliance
  • Experience managing payroll across multiple states (multi-jurisdiction)
  • Strong technical proficiency in payroll software
  • Advanced Excel skills for data analysis and reconciliation
  • Excellent attention to detail and organizational skills, with the ability to handle sensitive information with discretion
  • Strong communication skills and a collaborative mindset
  • Adaptable, hands-on, and proactive in a scaling, fast-paced environment
