Job Description

Marsh is seeking a Personal Assistant/Team Secretary for its UK Advisory practice team in Norwich. This hybrid role involves supporting Executive Assistants and the UK Leadership team with administrative tasks such as diary and inbox management, travel arrangements, expense tracking, and document preparation. The ideal candidate is an organized, proactive, and responsive individual with strong administrative skills to ensure smooth day-to-day operations.

Must Have:
  • Maintain and manage busy diaries, organising internal and external appointments considering current priorities, global time zones and the need for focus time
  • Prioritise tasks, meetings, and assignments effectively
  • Monitor inbox, responding to emails where appropriate, flagging them for later discussion
  • Coordinate and arrange business trips including meeting itineraries, flights and accommodation
  • Liaise with internal and external colleagues and clients across the UK and internationally
  • Reconcile expense claims and credit card statements
  • Act as a ‘gate keeper’ to ensure non-essential tasks are given low priority
  • Planning client meetings and events and/or coordinating with event planners
  • Undertaking ad-hoc projects
  • Work with a team of Assistants based in Mumbai
  • Experience working in a similar Personal Assistant role which demonstrates your ability to multi-task, organise and prioritise effectively
  • Ability to plan and organise self and others
  • Ability to work to tight deadlines
  • Strong written and verbal English language skills are essential
  • Strong attention to detail with the ability to prioritise pace over perfection when needed
  • Approachable & sociable personality
  • Sound knowledge of I.T. especially MS Outlook, Teams and Zoom
  • Ability to develop and maintain relationships
  • Maintain high levels of confidentiality

We are seeking a talented individual to join our UK Advisory practice team at Marsh, supporting the two Executive Assistants based in London and the wider London based UK Leadership team and Advisory colleagues. This role will be based in Norwich. This is a hybrid role that has a requirement of working at least three to four days a week in the office.

As an organised, proactive, and responsive individual, you will ensure their day-to-day work runs smoothly, keeping them organized and providing day-to-day administrative support in the form of inbox management, travel arrangements, calendar management, expense tracking, document preparation and correspondence.

We are looking for an experienced Personal Assistant who will be able to showcase their skills and add value straight away.

We will count on you to:

  • Maintain and manage busy diaries, organising internal and external appointments considering current priorities, global time zones and the need for focus time
  • Be able to prioritise, particularly when it comes to putting together executives’ calendar and determining the importance of various tasks, meetings, and assignments
  • Monitor inbox, responding to emails where appropriate, flagging them for later discussion
  • Coordinate and arrange business trips including meeting itineraries, flights and accommodation
  • Liaise with internal and external colleagues and clients across the UK and internationally
  • Reconcile expense claims and credit card statements
