Job Description

As the Reporter Operations Coordinator, you’ll be the operational backbone of our certified stenographic reporting service. You’ll manage relationships with independent reporters and partner court reporting agencies, ensure timely and appropriate coverage for events requiring a Certified Stenographic Reporter (CSR), and coordinate the full reporting workflow — from scheduling to transcript delivery and quality assurance. This is a high-ownership, detail-oriented role that sits at the intersection of client experience, logistics, and service quality. You'll help build a scalable system for certified reporting and ensure every client receives accurate, timely, and high-quality transcripts.

Must Have:
  • Coordinate Scheduling & Coverage: Review daily CSR needs, match reporters by geography/format, and update tracking systems.
  • Manage Contractors & Agencies: Act as the primary liaison with reporters & agencies, maintaining performance records and contractual details.
  • Ensure Event Readiness: Confirm reporters, share event details (Zoom links, locations, notices), and provide day-of support.
  • Handle Escalations: Resolve urgent issues such as late/no-show reporters or technical problems in real time.
  • Track Performance & Quality: Maintain logs of reporter timeliness, attendance, and communication; gather feedback from internal teams.
  • Refine Processes: Develop scalable workflows, templates, and tools to improve CR operations.
  • Support System Improvements: Collaborate with product/engineering teams to inform enhancements to reporting tools and processes.
  • Highly organized and thrive in spreadsheet-driven, detail-heavy environments.
  • Strong communication skills — proactive, clear, and diplomatic when dealing with external vendors.
  • Comfortable making judgment calls on urgent decisions and juggling shifting priorities.
  • Process-driven and enjoy building new systems and playbooks from the ground up.
  • Care deeply about quality and customer experience.
  • Work well in a remote team environment and can manage yourself with minimal supervision.

Job Summary

As the Reporter Operations Coordinator, you’ll be the operational backbone of our certified stenographic reporting service. You’ll manage relationships with independent reporters and partner court reporting agencies, ensure timely and appropriate coverage for events requiring a Certified Stenographic Reporter (CSR), and coordinate the full reporting workflow — from scheduling to transcript delivery and quality assurance.

Responsibilities:

  • Coordinate Scheduling & Coverage: Review daily CSR needs, match reporters by geography/format, and update tracking systems.

What You Bring:

  • Have 4+ years of experience in operations, vendor management, or logistics (legal tech or court reporting industry a plus)
  • Are highly organized and thrive in spreadsheet-driven, detail-heavy environments
  • Have strong communication skills — you’re proactive, clear, and diplomatic when dealing with external vendors
  • Are comfortable making judgment calls on urgent decisions and juggling shifting priorities
  • Are process-driven and enjoy building new systems and playbooks from the ground up
  • Care deeply about quality and customer experience
  • Work well in a remote team environment and can manage yourself with minimal supervision

$105 - $115 a year

Compensation Information:

$105,000-115,000. The base salary range represents the low and high end of the salary range for this position. The total compensation package for this position will be determined by each individual’s location, qualifications, education, work experience, skills and performance. We believe in the importance of pay equity - the range listed is just one component of total compensation package for employees. This position is also eligible for a paid time off policy, as well as a comprehensive benefits package.
