Job Description

Ninja Van is a tech-enabled logistics company seeking a Senior Talent Acquisition Executive to lead strategic recruitment for Malaysia & Singapore operations. This role involves identifying, attracting, and hiring top talent across various departments. The executive will contribute to the overall hiring strategy, coordinate with hiring managers, create job descriptions, source candidates, conduct interviews, and improve recruitment processes. The position requires a results-driven individual to ensure the company's staffing needs are met with a long-term talent strategy, focusing on a positive candidate experience and building strong talent pipelines.
Good To Have:
  • Certification obtained from the HR Certification Institute.

Must Have:
  • Input into overall hiring strategy of the organization to ensure diverse and qualified teams.
  • Coordinate with hiring managers to identify staffing needs on monthly, quarterly & yearly basis.
  • Create compelling job descriptions aligned with company branding.
  • Determine selection criteria for candidates by liaising with managers and staff.
  • Advertise and source applicants through various channels.
  • Proactively headhunt candidates.
  • Conduct screening calls and interviews to assess candidates’ skills, experience, and cultural fit.
  • Coordinate interview schedules with hiring managers and support with structured interview guides.
  • Keep records of all materials used for recruitment, including interview feedbacks and paperwork.
  • Conduct reference checks & submit reports to hiring manager and superior before offering stage.
  • Continuously improve recruitment processes and tools to increase efficiency and enhance candidate experience.
  • Propose salary package to superior/People & Rewards team based on market, company budget & parity.
  • Issue an offer letter to selected employees.
  • Track metrics (KPI & SLA) and provide regular reporting.
  • Conduct onboarding programmes for new joiners.
  • Attend career fairs and recruitment events to build a strong candidate pipeline.
  • Ensure the staffing needs of the company are being met, with a long-term talent strategy in mind.
  • Devise and implement sourcing strategies to build pipelines of potential applicants.
  • Create and implement end-to-end candidate hiring processes to ensure a positive experience.
  • Build relationship with universities/colleges.
  • Manages internship students (if assigned) including the SLA.
  • Involves in departmental / company relationship building activities including branding.
  • Work closely with HRBP(s) to keep in touch with progress of candidate hired.
  • Only open for Malaysia Citizens/PR holder.
  • Bachelor's Degree in Human Resources Management, or similar.
  • At least 5 years of experience as a Talent Acquisition Specialist, or similar.
  • Outstanding communications and interpersonal skills.
  • Impactful presentation style.
  • Excellent organizational and time management skills.
  • Ability to multitask and prioritize daily workload.
  • Creative thinker and proactive problem solver.
  • A positive, “can do” attitude.
  • Possess own transportation.
  • Required to travel as & when.

  • At least 5 years of experience as a Talent Acquisition Specialist, or similar.
  • Mandarin proficiency will be an advantage.
  • Aware of Malaysia & Singapore employment laws.
  • In-depth knowledge of candidates’ selection methods.
  • Experience with full-cycle recruiting, using various interview techniques and evaluation methods including managing Applicant Tracking System (ATS) and LinkedIn.
  • Knowledge in ISO 9001:2018 & SAP system will be an added advantage.
  • Proficient in Microsoft Office & Google Suite.
  • Outstanding communications and interpersonal skills.
  • Impactful presentation style.
  • Proficiency in documenting processes and keeping up with industry trends.
  • Excellent organizational and time management skills.
