Our client, a global team of environmental experts founded in 2005, seeks a Team Administrator / Document Specialist. This full-time, remote role (anywhere in WA) involves providing administrative, document management, and team coordination support for Australian, New Zealand, and occasionally U.S. operations. Responsibilities include formatting and proofreading documents, managing team information on OneNote and SharePoint, coordinating proposals, and assisting with various administrative tasks. The ideal candidate is proactive, detail-oriented, and proficient in Microsoft Office, with 5-10 years of relevant experience.

Must Have

  • Format documents using Microsoft Word templates and style guides
  • Proofread and edit reports for grammar, structure, and consistency
  • Convert deliverables into PDFs with tables, figures, and appendices
  • Collaborate with project managers to meet deadlines
  • Manage and update team information on OneNote and SharePoint
  • Coordinate inputs for large proposals and maintain standard company data
  • Set up digital filing systems for new projects
  • Train new team members on administrative processes
  • Gather and enter HSE statistics for client databases
  • Manage company details in procurement systems (e.g., ISN, Avetta, Ecovadis)
  • Maintain internal registers for training, suppliers, and documentation
  • Assist with travel coordination, presentations, and event planning
  • Handle ad hoc tasks such as stationery orders and office maintenance coordination

About The Opportunity

The primary purpose of this position is to provide administrative, document management, and team coordination support to the Australian and New Zealand operations, with occasional support for U.S. operations.

This role offers flexibility and autonomy — ideal for a proactive, detail-oriented professional with exceptional document management and communication skills.

Your responsibilities will include:

Document Specialist Duties

  • Formatting documents in Microsoft Word using templates and style guides.
  • Proofreading and editing reports for grammar, structure, and consistency.
  • Converting deliverables into PDFs with tables, figures, and appendices.
  • Collaborating with project managers to meet deliverable deadlines and specifications.

Team Administration Duties

  • Managing and updating team information on OneNote and SharePoint.

About You

The successful candidate will have:

  • 5–10 years’ experience in administration, coordination, or document management.
  • Proven ability to work independently, manage multiple priorities, and meet deadlines.
  • Strong proficiency in Microsoft Word, PowerPoint, and SharePoint.
  • High attention to detail, with strong editing and formatting skills.
  • A proactive, tech-savvy mindset and eagerness to learn new systems.
  • Experience supporting large, multi-disciplinary teams.
  • Prior exposure to environmental or remediation projects (desirable).
  • A relevant tertiary qualification (advantageous but not essential).
