Veeam is seeking an experienced Executive Assistant to partner with leadership and enhance the in-office experience. This role demands exceptional attention to detail, strong organizational skills, and the ability to manage complex calendars, travel, and administrative tasks. The successful candidate will proactively support executives, handle confidential information with discretion, and contribute to team activities in a fast-paced, high-tech environment.

Must Have

  • 5+ Years supporting high level executives
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, etc.)
  • Ability to work onsite five days a week

About This Role

Are you an experienced Executive Assistant (EA) always looking around corners and anticipating needs? Do you believe that details matter and want to support a highly engaged team? Veeam Software is seeking an exceptionally bright, multitasking, and self-motivated individual to partner with members of our leadership team along with providing a great in-office experience.

This exciting role requires superior attention to detail, the ability to meet tight deadlines, great organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with Executives is important, as is the ability to be flexible and change direction seamlessly. The successful candidate will possess the ability to complete complex tasks and projects quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, and want to take on varied and exciting new projects and learn new skills. A good sense of humor is also a must. Responsibilities for this position include the ability to build strategic proactive business partnerships, to think and plan ahead, and manage time effectively.

What You'll Do

  • Proactively coordinate and engage with leadership in planning and organizing events, activities, and calendars.
  • Manage complex calendars and scheduling with senior leadership, maintaining diplomacy and discretion.
  • Organize, prioritize, and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner.
  • Organize, execute, and assist with team activities.
  • Ensure well organized and up-to-date travel logistics, expense reports, and other administrative needs.
  • Partner with EA team to manage onsite meals, events, and employee activities. Along with keeping the office well stocked with kitchen and office supplies.
  • Liaise with property management on facility work orders as needed.
  • Prioritize Inclusion, Diversity, and Equity Initiatives for your executives.
  • Have fun at work and help others to do the same.
