Job Summary
As an Executive Assistant at Integrant, you will play a critical role in supporting the executive team by managing their schedules, communications, and administrative tasks. Your attention to detail, exceptional organizational skills, and ability to multitask will be essential in ensuring the smooth operation of the executive office. Key responsibilities include handling confidential information, providing executive support, managing tasks and workflows, preparing documentation, and overseeing operational and administrative functions.
Must Have
- Handle sensitive information with discretion and maintain confidentiality
- Ensure compliance requirements are met
- Act as a liaison between executives and staff
- Support manager in strategic initiatives and ad hoc assignments
- Prepare and organize materials for meetings
- Take meeting notes, capture key decisions, and track follow-up actions
- Track and follow up on tasks and action items
- Assist in managing legal and compliance workflows and deadlines
- Support various executive projects and manage deadlines
- Prepare, edit, and proofread correspondence, reports, and presentations
- Assist in preparation of internal and external communications
- Handle administrative requests and queries
- Ensure smooth day-to-day communication and workflow
- Supervise and guide team members (Senior Office Administrator, Office Manager)
- Bachelor’s degree in Business Administration, Management, or related field
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Excellent communication skills, both written and verbal, in English

Key Responsibilities
- Confidentiality & Compliance
- Handle sensitive information with discretion and always maintain a high level of confidentiality.
- Ensure compliance requirements are met through organizational and procedural measures, including monitoring and reporting.
- Assist with confidential HR or business matters as needed.
- Executive Support
- Act as a liaison between executives and staff, ensuring effective communication and timely follow-up.
- Support the manager in strategic initiatives and ad hoc assignments.
- Prepare and organize materials for meetings, including agendas and reports.
- Take meeting notes, capture key decisions, and track follow-up actions.
- Task & Workflow Management
- Track and follow up on tasks and action items assigned to different teams to ensure timely execution.
- Assist in managing legal and compliance workflows and deadlines.
- Support various executive projects and manage deadlines effectively.
- Documentation & Communication
- Prepare, edit, and proofread correspondence, reports, and presentations for executive review.
- Assist in the preparation of internal and external communications.
- Handle administrative requests and queries from senior managers and employees.
- Operational & Administrative Support
- Ensure smooth day-to-day communication and workflow.
- Supervise and guide team members, including the Senior Office Administrator and Office Manager, overseeing visa applications, medical insurance, procurement, and facilities.

- Bachelor’s degree in Business Administration, Management, or a related field.
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
- Excellent communication skills, both written and verbal, in English.

- Strong interpersonal skills and the ability to build effective relationships across various department
