Position Purpose
The mid-level Coordinator position is a critical role in the workflow process for show delivery. They will promote interdepartmental communication to move information from one department to expedite completion. They will be prepared to flag concerns or issues to the Project Manager and/or Department Supervisor which may delay workflow or shot delivery. They will be on the pulse of all shots within their department and be able to communicate status reports to the Project Manager when required.
Mid-level Coordinators will begin to understand impact issues within the pipeline and can anticipate workflow problems which may slow delivery.
Duties & Responsibilities
- Provide ongoing support to ensure the highest productivity of the artists
- Organize internal department meetings and show review sessions
- Take and distribute detailed meeting notes via Shotgrid, and understand the impact of notes as it relates to the team and schedule
- Work with the Producer, Production Manager, and Supervisors to adhere to schedules and keep tasks on track
- Able to generate their department task schedules based on milestones provided
- Able to keep tabs of the targets/crew workload 2-3 weeks ahead. Maintains oversight of their departments targets/crew and has the understanding to identify/flag/troubleshoot things that may be of concern.
- Track the status of all shots in the pipeline, maintaining an accurate and up-to-date database in Shotgrid
- Communicate successes and challenges faced by the team to the Production Manager
- Ensure artists have the information and materials required to complete their work efficiently
- Facilitate communication between all departments
- Deliver reports as requested by Production Managers or Producer
- Ensure all email & remote chat correspondence is up to date, responding to emails & messages in a timely manner
- Work with the Supervisors and artists to manage render priorities
- Provide support to new coordinators and PA’s
Education and Experience
- 2+ years’ experience as coordinator in feature film/TV is preferred
- Understanding of production workflow process
- Proven experience identifying and providing solutions to production issues
