Job Description

Business Insider is seeking a Manager, Event Production & Experience to join their BI Live events team. This role is crucial for delivering Business Insider Live experiences with precision, polish, and creativity, managing logistics to environment design to ensure events reflect the BI brand's quality and editorial values. The Manager will support the execution of editorial and trade events, working cross-functionally with editorial, marketing, sales, and client services. Responsibilities include managing production timelines, schedules, logistics, and budgets, serving as a point of contact for vendors, and coordinating site visits. The role also involves contributing to experiential design, collaborating on branded environments, and shaping event layouts. Additionally, the Manager will engage in cross-functional collaboration with internal teams and participate in pre-sales activities, representing the production team in reviews. Post-event, the Manager will maintain documentation, reconcile budgets, and contribute to debriefs and process optimization.

Business Insider is hiring a Manager, Event Production & Experience to join our BI Live events team. This role will play a critical part in delivering Business Insider Live experiences with precision, polish, and creativity. From logistics to environment design, the Manager helps ensure our events reflect the quality, ambition, and editorial values of the BI brand.

We are looking for a hands-on, design-savvy Manager of Event Production & Experience who thrives on execution, collaboration, and the details that make great events unforgettable.

The Role & Team

The Manager, Event Production & Experience- BI Live supports the execution of Business Insider Live’s editorial and trade event portfolio. This role reports to the Director of Production and works cross-functionally across editorial, marketing, sales, and client services to bring live programs to life — from timelines and budgets to scenic and branded environments.

This position is ideal for someone who combines operational rigor with creative instincts — someone equally comfortable on site with vendors as they are concepting event layouts and guest experiences.

This position is based in our New York City HQ, with an in-office presence of at least 2 days per week.

Key Responsibilities

Production Management

  • Manage event production timelines, schedules, logistics, and budgets from pre-planning through onsite execution and post-show wrap
  • Serve as point of contact for vendors, AV teams, fabricators, and venues — ensuring deliverables meet BI Live’s expectations for quality and professionalism
  • Coordinate site visits, venue walkthroughs, load-ins/load-outs, and real-time troubleshooting
  • Partner with the Director of Production and event producers to scope needs, manage spend, and deliver flawlessly within budget

Experiential Design Contribution

  • Collaborate with editorial, sales, and creative teams to shape branded environments that reflect BI Live’s premium, white-glove ethos
  • Contribute mood boards, layout concepts, and experiential ideas that elevate partner activations and editorial storytelling
  • Support the transformation of editorial themes and sponsor goals into immersive design elements — from scenic moments to gifting and print collateral
  • Partner with vendors to ensure creative execution maintains design integrity through installation

Cross-Functional Collaboration

  • Work closely with internal teams (programming, client services, marketing, and design) to align production with broader event strategy
  • Participate in pre-sales brainstorming and RFP responses — including venue sourcing, run-of-show planning, and high-level concepting
  • Represent the production team in walkthroughs, stakeholder reviews, and internal creative presentations

Operational Reporting & Wrap-Up

  • Maintain production documentation and reconcile budgets post-event
  • Contribute to post-show recaps and internal debriefs
  • Identify opportunities to optimize vendor relationships, workflow processes, and future planning efficiencies

The Ideal Candidate Has:

  • 5+ years of experience in live event production, including experience across tentpole and executive-level events
  • Strong understanding of scenic, AV, lighting, fabrication, and venue operations
  • Excellent attention to detail, time management, and budget discipline
  • A collaborative mindset and confidence managing logistics under pressure
  • A keen eye for design and spatial layout; experience with tools like SketchUp, Vectorworks, or Adobe Suite a plus
  • Familiarity with vendor sourcing and basic contracting practices
  • Strong communication and problem-solving skills in high-paced, deadline-driven environments

Note: This role reports to the Director of Production and is focused on execution and delivery. While the Manager contributes creative input and supports production strategy, overall show leadership and vendor negotiation sit with the Director.
