Job Summary
Toppan Merrill is seeking an Administrative Assistant to join their Human Resource team in St. Paul, MN. This role supports the Senior Director of Human Resources and involves administering HR programs, assisting with benefits, maintaining employee files, and managing facility-related issues for the St. Paul office. The ideal candidate will provide exceptional service, maintain confidentiality, and demonstrate strong organizational skills in a fast-paced environment.
Must Have
- Administer, maintain, and monitor pre-employment, benefit invoices, I-9 compliance, and other HR programs
- Assist benefits analyst with benefit reporting and employee questions
- Maintain employee & benefit files
- Assist in answering employee questions
- Manage St. Paul, MN facilities with maintenance issues, order office supplies, open St. Paul mail for HR & Legal – review and scan
- Provide exceptional service and prompt resolution to employee and manager inquiries
- Maintain confidentiality and exercise discretion in handling sensitive information
- High School Diploma
- Ability to escalate critical matters in a timely fashion to the appropriate resource
- Ability to assess if there is an issue in the building and escalate to the appropriate resource
- Demonstrate excellent organizational skills and the ability to manage multiple high-priority projects in a fast-paced environment
- Apply knowledge of general office administration procedures and operate standard office equipment proficiently

Job Responsibilities:
- Administer, maintain, and monitor pre-employment, benefit invoices, I-9 compliance, and Other HR Programs as requested
- Assist benefits analyst with benefit reporting and employee questions
- Maintain employee & benefit files
- Assist in answering employee questions
- This position will also manage the facilities with maintenance issues, order office supplies, open mail for HR & Legal – review and scan
- Provide exceptional service and prompt resolution to employee and manager inquiries through phone calls and emails
- Maintains confidentiality and exercises discretion in handling sensitive information.
About You:
- High School Diploma
- Ability to escalate critical matters in a timely fashion to the appropriate resource
- Ability to assess if there is an issue in the building and escalate to the appropriate resource
- Demonstrates excellent organizational skills and the ability to manage multiple high-priority projects in a fast-paced environment.
