Job Description

The Office Coordinator supports the operational and cultural excellence of the company’s headquarters, working with the Senior Office and Community Manager. This role ensures teams have necessary tools and resources, performs administrative and operational tasks, maintains office organization, manages supplies, and creates a positive environment for employees and guests. It serves as a central point of contact for daily office operations, fostering a professional, collaborative, and welcoming workplace.

Must Have:
  • Support employees and visitors
  • Listen to the needs of our employees and assist with employees’ needs in the office
  • Facilitate office access and badging for employees and guests
  • Support guests or employees traveling to an office they are not familiar with
  • Help organize and/or support office events, both virtually and in-person
  • Work collaboratively within the rest of the Workplace Resources team and with cross-functional groups to run various programs and activities
  • Provide important information and create excitement and connection through Slack
  • Draft and distribute clear communications
  • Support our procurement process including opening POs, adding suppliers, processing invoices, etc
  • Update systems and documents such as intranet materials and knowledge articles
  • Manage incoming requests and questions using our ticketing system
  • Ship and receive packages
  • Maintain a safe, clean, and organized office
  • Manage weekly snack and meal ordering with our vendors
  • Ensure safety measures are in place
  • Assist with facility improvement projects including furniture modifications, setups, and moves
  • Communicate with building management for any facilities needs
  • Respond to building emergencies
  • Assist managing services with various vendors
  • A minimum of two years of related experience
  • Interpersonal skills, supported by excellent written and oral communications skills
  • Demonstrated ability to interact effectively with a wide variety of people and levels of management
  • A positive, can do attitude with a willingness to try new things
  • Proven ability to be resourceful in solving problems without much supervision
  • Must be customer service oriented
  • Tech savvy-knowledge of G Suite Apps, Slack and Excel (or Google sheets)
  • Ability to learn new software programs
  • High school diploma or GED required

Our client is seeking an Office Coordinator for a contract opportunity. The Office Coordinator plays a key role in supporting the operational and cultural excellence of the company’s headquarters. This position works in close partnership with the Senior Office and Community Manager to help lead and support engaging, energizing activities both in-person and virtually. The Office Coordinator ensures that teams have the tools and resources they need to be successful, while performing a wide variety of administrative and operational tasks to keep the offices running smoothly. This includes maintaining office organization, ensuring supplies are appropriately stocked, and creating a positive experience for employees and guests visiting the office. This role serves as a central point of contact for day-to-day office operations, helping to foster a professional, collaborative, and welcoming environment that reflects the company’s values and enhances workplace productivity.

Duties:

  • Support employees and visitors
  • Listen to the needs of our employees and assist with employees’ needs in the office
  • Facilitate office access and badging for employees and guests
  • Support guests or employees traveling to an office they are not familiar with - provide directions and needed information, add them to the building guest list, and ensure they have everything they need. Enhance the energy and connection of employees
  • Help organize and/or support office events, both virtually and in-person
  • Work collaboratively within the rest of the Workplace Resources team and with cross-functional groups to run various programs and activities
  • Provide important information and create excitement and connection through Slack
  • Draft and distribute clear communications Administrative Support

  • Order new hire swag? Report on in-office employee attendance across our office
  • Manage incoming requests and questions using our ticketing system

  • Take pride in the appearance of HQ and make it friendly for our employees and guests
  • Manage weekly snack and meal ordering with our vendors
  • Ensure safety measures are in place
  • Assist with facility improvement projects including furniture modifications, setups, and moves
  • Communicate with building management for any facilities needs
  • Respond to building emergencies
  • Assist managing services with various vendors

Requirements:

  • A minimum of two years of related experience Interpersonal skills, supported by excellent written and oral communications skills
  • Demonstrated ability to interact effectively with a wide variety of people and levels of management
  • A positive, can do attitude with a willingness to try new things-Personality is huge!
