Job Summary
The Project Support Coordinator will be instrumental in ensuring the seamless and efficient execution of the Scylla ISS program. This role involves effectively managing all administrative, coordination, and communication tasks to maintain program progress and adherence to established processes and procedures. Key responsibilities include document management, scheduling, stakeholder communication, resource logistics, reporting, and ensuring compliance with organisational policies.
Must Have
- Prepare, organise, and maintain project documents, including plans, reports, meeting minutes, and correspondence.
- Assist with scheduling project meetings, creating timelines, and tracking deadlines.
- Facilitate communication between project team members, stakeholders, and external parties, circulate updates and deliverables.
- Help manage project resources and logistics, such as booking venues, travel, arranging materials, and coordinating with vendors.
- Generate regular status reports utilising program management software.
- Maintain accurate project records in databases or project management software.
- Assist with quality control processes to ensure deliverables meet specified standards.
- Provide general administrative support such as preparing presentations, handling correspondence, and organising project files.
- Ensure project activities comply with organisational policies, standards, and legal requirements.
- Build strong stakeholder relationships, contribute to quality checks, support risk management, and help maintain audit readiness across projects.
- Proven project administration experience with, ideally 5+ years supporting projects in construction, infrastructure, professional services, or Defence.
- Ability to manage multiple priorities and meet tight deadlines.
- Strong organisational and multitasking skills.
- Excellent communication and stakeholder management with the ability to build relationships, coordinate across teams.

As the Project Support Coordinator, you will play a crucial role in supporting the smooth and efficient delivery of the Scylla ISS program. You will ensure that all administrative, coordination, and communication functions are handled effectively to keep the program on track and compliant with relevant process and procedures.
The Maritime, Under Water Systems (UWS) team in Western Australia comprises a number of Customer Support Services based contracts and activities. These include Collins Class Submarine In Service Support (ISS) Contract for the Thales Sonar Suite (Scylla), MU90 Light Weight Torpedo In Service Support Contract, and support to Thales Sonar equipment installed on the ANZAC Class Frigates.

**KEY ACTIVITIES AND RESPONSIBILITIES
As a Project Support Coordinator, you are accountable for:**

**KEY KNOWLEDGE AND EXPERIENCE
To be successful in your role, you will have demonstrated and/or acquired the following knowledge and experience:**
- Proven project administration experience with, ideally 5+ years supporting projects in construction, infrastructure, professional services, or Defence, with the ability to manage multiple priorities and meet tight deadlines.
- Strong organisational and multitasking skills.
- Excellent communication and stakeholder management with the ability to build relationships, coordinate across teams
