The Specialist Facilities position is responsible for daily facility operations, maintaining the brick-and-mortar site and critical equipment. This role supports Site Management by ensuring a comfortable and safe work environment. Key responsibilities include managing facilities tasks, testing equipment, performing maintenance, managing vendor relationships, supporting space planning, and ensuring health and safety compliance. The role requires strong communication, organizational skills, attention to detail, and a customer service disposition, with travel to the Tartu office as needed.
Must Have

- Test critical equipment (UPS, Generator, ATS)
- Perform basic electrical, plumbing, and carpentry maintenance
- Manage vendor relationships

Job Description
The Specialist Facilities position is responsible for all aspects of daily facility operations to maintain the brick-and-mortar site and its critical equipment. This position supports the business needs of Site Management while providing a comfortable and safe work environment for employees. The role requires availability to travel to the other office in Tartu when needed.
Responsibilities:
- Utilize Facilities Request System to manage facilities tasks and work tickets in a timely manner
- Test critical equipment including UPS, Generator, ATS, etc. to maintain facilities
- Perform maintenance activities including basic activities such as electrical, plumbing, and carpentry
- Provide input to Facilities Manager and help manage vendor relationships for all facilities purchases and supply orders
- Support Facilities Manager in managing relocation/space planning such as reconfigurations and build-outs according to schedule
- Ensure health and safety policies and procedures are being followed through ongoing communication and reinforcing accountability
- Review and maintain daily (break/lunch) backup support for security in the day-to-day duties such as badge requests, visitor sign-in, and manning entrances
- Provide input to Facilities Manager for annual budgets
- Coordinate with internal groups for employee health and safety concerns

- Excellent communication skills, both written and verbal
- Ability to effectively present information to internal and external associates
- Demonstrated ability to organize and prioritize projects in a fast-paced and deadline-oriented business environment
- Demonstrated ability to take initiative and ownership with focus on continuous improvement
- Excellent attention to detail
- Strong customer service disposition and sense of professionalism
- Solid understanding of the organization's business operations and industry; demonstrated business acumen
- English Language: B2 minimum, Estonian: Native
- Availability to travel to the Tartu office when needed
