Zeta is seeking an experienced Sr. Executive Assistant to support a Sr. Vice President & Vice President. The role involves comprehensive calendar management, global travel arrangements, managing communications, ensuring project follow-ups, conducting ad hoc research, and creating presentations. The ideal candidate will maintain confidentiality, be proficient in office tools, and stay updated with industry trends.

Must Have

  • Coordinate and maintain global calendars for Sr. VP & VP.
  • Manage all travel arrangements including visas, tickets, and hotels.
  • Handle phone calls, emails, and correspondence with vendors and clients.
  • Maintain strong follow-up systems for projects and update leaders.
  • Conduct ad hoc research projects with accuracy and detail.
  • Demonstrate high integrity and maintain confidentiality.
  • Organize and service meetings, social gatherings, and events.
  • Possess project coordination skills.
  • Strong expertise and proficiency in Microsoft Office suite.
  • Bachelor’s degree required.
  • 5-6 years of relevant work experience, preferably in MNCs with global exposure.
  • Comfortable working over weekends.
  • Be a good team player.
  • Proactive with a go-getter attitude.
  • Immaculate written and oral communication skills.
  • Process-oriented with commitment to documentation.
  • Proficient in Internet usage and technical aptitude.
  • Intelligent with good logical reasoning.

About the role

Zeta is looking to hire an experienced and skilled Sr. Executive Assistant to work for our Sr. Vice President & Vice President

Responsibilities

  • Coordinate and maintain the calendar including organizing all internal & external appointments, meetings, conferences all across the world etc.
  • Manage travel arrangements (including but not limited to visa arrangements, ticket bookings, cab arrangements, hotel bookings etc.)
  • Managing phone calls, routine emails and correspondence with vendors and clients within India and Internationally.
  • Maintain strong follow-up systems for timely completion of projects/assignments and keep the leaders updated on any developments, status reports related to ongoing projects and share follow-ups and follow-throughs with internal and external teams.
  • Work on ad hoc research projects and ensure timely completion with 100% accuracy and eye for detailing.
  • Should be high on integrity and the ability to maintain confidentiality in day-to-day operations.
  • Organizing and servicing meetings, social gatherings and events.
  • Project coordination skills coupled strong expertise in Microsoft Office.
  • Remain up to date with the latest office productivity tools, trends and events in the industry.
  • Creating Presentations or any reports as and when required.

  • Process-oriented: Demonstrable commitment to following processes, documentation etc.

Education & Qualifications

  • Bachelor’s degree (Master’s degree will be preferred).
  • 5-6 years of relevant work experience preferably having worked in MNC’s and having exposure to multiple cultures and US time zones.
  • Should be comfortable working over weekends.
  • Should be a good team player.
  • Proficiency in Microsoft Office suite is a must.
