Job Description

This role involves providing administrative support within the Engineering Competence Center, focusing on air traffic management and protection systems. Responsibilities include organizing team travel, managing expense reports, coordinating meetings and events, facilitating new employee integration, handling visitor logistics, managing office space, maintaining documentation, relaying communications, processing purchase requests, and tracking security clearances and mandatory training.
Must have:
  • Organize team travel in France and abroad.
  • Manage expense reports from creation to entry.
  • Organize recurring or team meetings requiring specific equipment or arrangements.
  • Coordinate and prepare the arrival and integration of new employees.
  • Manage logistics for external visitors.
  • Manage office occupancy plans and associated relocation processes.
  • Maintain departmental documentation spaces.
  • Relay communication to teams.
  • Ensure and manage specific purchase requests.
  • Organize and monitor the renewal of security clearances and mandatory training registrations.
  • Provide support to all Domain Assistants.
  • BAC+2 (BTS/DUT type) education in assistance.
  • Confirmed experience as a team or department assistant.
  • Excellent interpersonal skills, teamwork, listening, and service orientation.
  • Ability to work autonomously and organize daily work.
  • Rigor, punctuality, discretion, and confidentiality.
  • Proactivity, initiative, anticipation, and reactivity.
  • Proficiency in Pack Office (Word, Excel, PowerPoint) and SAP (Concur, Purchase Requests).

Your daily life

We provide and support systems for air traffic management and protection. We work with passion in a modern architectural setting, striving to push the boundaries of technology in our key sectors. South of Paris, our site is easily accessible by public transport.

Within the Engineering Competence Center, you will perform the following missions directly in connection with managers and their teams:

  • Organize travel for teams in France and abroad.
  • Manage expense reports from creation to entry.
  • Organize recurring or team meetings requiring the use of restricted access equipment or specific arrangements, and events such as service meals, team cohesion, seminars.
  • Coordinate and prepare the arrival and integration of new employees.
  • Manage logistics for external visitors.
  • Manage office occupancy plans and associated relocation processes.
  • Maintain departmental documentation spaces.
  • Relay communication to teams.
  • Ensure and manage specific purchase requests.
  • Organize and monitor the renewal of security clearances and mandatory training registrations for employees.
  • Provide support to all Domain Assistants.

Your profile

Do you have a BAC+2 (BTS/DUT type) education in assistance, and confirmed experience as a team or department assistant?

Previous experience in an engineering department would be an additional asset.

Endowed with excellent interpersonal skills, do you know how to work in a team and are you recognized for your sense of listening and service?

Do you know how to work autonomously and organize your daily work according to priorities?

Rigor, punctuality, discretion, and confidentiality are assets you are recognized for?

Do you know how to be proactive and take initiatives, demonstrate anticipation and reactivity?

Do you master office tools (Pack Office and more particularly: Word, Excel, and PowerPoint) as well as SAP (Concur and Purchase Requests)?
