Job Summary

ComeOn Group is seeking a Workplace Experience Specialist to manage day-to-day office operations and foster a vibrant workplace culture in Malta. This full-time, on-site role involves being the welcoming face of the office, handling reception duties, managing supplies and vendor relationships, and coordinating events. The specialist will also ensure office maintenance, logistics, and health & safety compliance. Candidates need 2+ years of experience in office operations, proficiency with Google Workspace and Slack, and strong communication skills. The role is crucial for creating an inviting and efficient environment for over 500 employees.

Must Have

  • Greet everyone with a warm, professional vibe
  • Own reception duties, from incoming post to courier deliveries
  • Create a space that feels inviting, helpful, and inclusive
  • Be the go-to person for anything office-related
  • Spot maintenance issues and coordinate with cleaners, contractors and property teams
  • Own the logistics; from locker allocation and access cards to meeting room bookings and travel arrangements
  • Keep supplies flowing, from snacks to stationery
  • Stay on top of stock, deliveries, and ordering
  • Build solid vendor relationships and negotiate terms
  • Help bring the good vibes to events
  • Coordinate logistics like catering, sign-ups, and decorations for events
  • Use systems and digital signage to hype events
  • Help new joiners feel welcome with desk setup, welcome packs
  • Keep invoices and office spend organised
  • Ensure the office remains safe and compliant
  • Spot hazards, report issues, and make sure documentation is sorted
  • Ensure first aid kits, extinguishers, and other essentials are up to scratch
  • Love people as much as getting things done
  • 2+ years experience in managing day-to-day office operations with structure and care
  • Social, approachable, visible and present
  • Ability to handle multiple tasks at once and adapt on the fly
  • Proactive mindset with a keen eye for what makes a workplace feel welcoming
  • Comfortable using Google Workspace, Slack, and other workplace tools
  • Good written and verbal communication skills in English

Working hours: Full-time

  • Monday to Thursday: 8:00am to 5:00pm (incl. 1 hour break)
  • Friday: 9:00am to 6:00pm (incl. 1 hour break)

We’re on the lookout for a Workplace Experience Specialist who isn’t just about making sure the printer works, but someone who helps bring the office to life. This role goes beyond traditional office and admin tasks. We're looking for someone who can own the day-to-day operations of the office while also being the friendly face that welcomes employees and guests, builds connections across the business, and helps foster a workplace culture we’re proud of.

Responsibilities:

Be the Face of the Office

  • Greet everyone with a warm, professional vibe. You're the first impression, so make it count
  • Own reception duties, from incoming post to courier deliveries
  • Create a space that feels inviting, helpful, and inclusive

Keep the Office Running Smoothly

  • Be the go-to person for anything office-related. If something needs doing, you’ll make it happen
  • Spot maintenance issues before they become problems and coordinate with cleaners, contractors and property teams to fix them asap
  • Own the logistics; from locker allocation and access cards to meeting room bookings and travel arrangements

Own Supplies & Vendor Relationships

  • Keep supplies flowing, from snacks to stationery
  • Stay on top of stock, deliveries, and ordering
  • Build solid vendor relationships and negotiate terms. We want real impact and quality, not just box-ticking

Support Events & Culture

  • Help bring the good vibes! Whether it’s at after work drinks or a seasonal celebration
  • Coordinate logistics like catering, sign-ups, and decorations
  • Use systems and digital signage to hype events in a fun and engaging way

Admin & People Support

  • Help new joiners feel welcome with desk setup, welcome packs, and a smile
  • Keep invoices and office spend organised

Health & Safety Hero

  • Ensure the office remains safe and compliant by relying on solid procedures and good judgement
  • Spot hazards, report issues, and make sure documentation is sorted
  • Ensure first aid kits, extinguishers, and other essentials are up to scratch
