The Workplace Experience Specialist plays a pivotal role in ensuring the smooth operation of the office, creating a safe, efficient, and engaging work environment for all employees. This role involves managing day-to-day office facilities and ensuring compliance with workplace health and safety regulations.
Due to the nature of the role, there is a requirement to be in the office 5 days per week.
Key responsibilities will include:
- Coordinate the day-to-day operations to ensure an efficient and safe work environment, under the guidance of the Workplace Experience Lead.
- Complete JIRA service desk requests, ensuring timely response to requests in accordance with established service expectations, while maintaining high standards of customer service.
- Ensure cost-effective use of resources and tracking expenses within the allocated budget provided by the Workplace Experience Lead.
- Maintain relationships with internal and external stakeholders, ensuring timely and quality service delivery.
- Plan and execute in office events from start to finish, including managing logistics, coordinating with vendors, overseeing budgeting, and ensuring proper event setup for a seamless and successful experience.
- Manage office access cards, including issuing new cards for employees and visitors, revoking access during offboarding, and conducting regular card audits and reporting to ensure compliance with security protocols.
- Coordinate all office maintenance needs including repairs and cleaning services to maintain a safe and efficient work environment.
What you will bring to the role:
- Proven experience in a similar role in a fast growth dynamic environment with a hybrid way of working.
- Previous experience in workplace experience, employee engagement or office coordination is highly desirable.
- Experience executing and hosting events.
- Basic understanding of project coordination, with good time management skills and the ability to handle multiple tasks and prioritise work effectively.
- Familiarity with Work Health and Safety guidelines and emergency management processes is desirable.
- High levels of attention to detail and proactive problem solving skills.
- Creative thinker and innovative, with an eye for detail, design and presentation.
