This role supports the Business Planning Team by organizing employee communications, coordinating operations, and ensuring smooth day-to-day logistics. It offers the chance to work closely with senior administrative professionals, contribute to process improvements, and help facilitate both small team meetings and larger cross-functional sessions.
Project/Operations Coordinator Responsibilities:
Provide administrative support to the head of the Business Planning Team, assisting specifically with the delivery and organization of employee communications and operational processes.
Track deadlines, deliverables, and follow-ups, helping to maintain visibility across active priorities; ability to attend a meeting and easily capture action items with associated due dates and owners.
Work with key stakeholders, including senior level administrative professionals, to problem solve processes and take the lead in ensuring smooth behind the scene operations and logistics.
Help coordinate small team meetings and larger cross-functional sessions when necessary, including logistics, communications, and actionable next steps.
Organize and maintain shared files, team documents, and templates.
Monitor and manage small tasks and updates independently, while escalating issues or decisions when needed.
Project/Operations Coordinator Qualifications:
Bachelor’s degree preferred, or equivalent administrative experience.
1–3 years of experience in an administrative, team support, or coordinator role.
Experience supporting executives or team leads in a corporate environment is a plus.
Strong organizational skills with exceptional attention to detail.
Professional writing and communication skills, specifically in regards to email communications, and being able to clearly and concisely convey information.
Ability to manage up and anticipate needs or potential gaps - create processes etc.
Self-starter with a calm, solutions-oriented mindset.
Proficient in Microsoft Office Suite (especially Outlook, PowerPoint, and Word); experience with Workfront or other workflow tools is a plus.
