VGW is seeking a Workplace Experience Specialist in Sydney to ensure the smooth operation of their office. This role involves managing day-to-day office facilities, ensuring compliance with workplace health and safety, and creating an engaging work environment. The specialist will coordinate operations, handle service desk requests, manage events, and maintain office access and maintenance, contributing to a safe and efficient workplace for all employees.
Must have:
  • Coordinate day-to-day operations to ensure an efficient and safe work environment.
  • Complete JIRA service desk requests, ensuring timely response and high customer service.
  • Manage office access cards, including issuing, revoking, and conducting audits.
  • Coordinate all office maintenance needs including repairs and cleaning services.
  • Proven experience in a similar role in a fast growth dynamic environment with a hybrid way of working.
  • Experience executing and hosting events.
  • Basic understanding of project coordination, with good time management skills and the ability to handle multiple tasks and prioritise work effectively.
  • High levels of attention to detail and proactive problem solving skills.
Good to have:
  • Previous experience in workplace experience, employee engagement or office coordination.
  • Familiarity with Work Health and Safety guidelines and emergency management processes.

Job Details

The Workplace Experience Specialist plays a pivotal role in ensuring the smooth operation of the office, creating a safe, efficient, and engaging work environment for all employees. This role involves managing day-to-day office facilities and ensuring compliance with workplace health and safety regulations.

Due to the nature of the role, there is a requirement to be in the office 5 days per week.

Key responsibilities will include:

  • Coordinate the day-to-day operations to ensure an efficient and safe work environment, under the guidance of the Workplace Experience Lead.
  • Complete JIRA service desk requests, ensuring timely response to requests in accordance with established service expectations, while maintaining high standards of customer service.
  • Ensure cost-effective use of resources and tracking expenses within the allocated budget provided by the Workplace Experience Lead.
  • Maintain relationships with internal and external stakeholders, ensuring timely and quality service delivery.
  • Plan and execute in office events from start to finish, including managing logistics, coordinating with vendors, overseeing budgeting, and ensuring proper event setup for a seamless and successful experience.
  • Manage office access cards, including issuing new cards for employees and visitors, revoking access during offboarding, and conducting regular card audits and reporting to ensure compliance with security protocols.
  • Coordinate all office maintenance needs including repairs and cleaning services to maintain a safe and efficient work environment.

What you will bring to the role:

  • Proven experience in a similar role in a fast growth dynamic environment with a hybrid way of working.
  • Previous experience in workplace experience, employee engagement or office coordination is highly desirable.
