As an Executive Assistant to the Managing Director for the Central European region, you will be the primary point of contact, facilitating communication and solutions for 3DS executives, teams, and customers. Your responsibilities include comprehensive calendar and time management, organizing meetings and travel, handling expense reports, and supporting internal and external communications. You will also prepare high-impact presentations, manage events, and act as a crucial interface between the Managing Director and board members, ensuring high-quality execution and service.
Must have:
  • Assist Managing Director in daily missions.
  • Facilitate communication and solutions for 3DS executives, teams, and customers.
  • Manage calendar and time for the Managing Director.
  • Organize internal and external meetings.
  • Arrange travel and create expense reports.
  • Support internal and external communication channels.
  • Monitor email inboxes and Outlook calendars.
  • Communicate with customers, partners, and executive offices.
  • Prepare high impact presentations and be involved content-wise.
  • Organize and support internal and external events.
  • Manage eProcurement orders and invitation processes.
  • Anticipate topics and maintain organization.
  • Manage interface between Managing Director and board members.
  • Steer communication and internal processes.
  • Ensure high quality execution and service.
  • Professional training as Assistant or comparable bachelor’s degree.
  • 8+ years of experience in a complex Sales/IT environment.
  • Proactive, out-of-the-box mentality, time discipline, empathy, high performance demands.
  • Ready to travel within Germany.
Good to have:
  • French language skills are a plus.

Job Details

As the Executive Assistant to the Managing Director for the Central European region you are responsible to assist in every day to day mission! You will be the “go-to” person to facilitate communication and solutions for the 3DS executives, teams and customers.

Role Description & Responsibilities

  • Calendar and time management for the Managing Director is part of your daily activities, including organization of internal and external meetings, travel arrangements and creation of related expense reports
  • You support your manager in internal and external communication channels, including monitoring email inboxes and Outlook calendars, as well as communicating with customers, partners, and executive offices within our global organization
  • You are supporting and managing the preparation of high impact presentations (e.g. for sales activities) and are involved content wise
  • You are actively organizing and/or supporting internal and external events, including the creation of related eProcurement orders and management of invitation processes
  • You are anticipating arising topics and stay organized in an exciting environment
  • You manage the interface between the managing director and the board members (with headquarters in France), steering communication and internal processes within the organization and among the local team of assistants
  • By facilitating interactions within our organization as well as with other organizations you are ensuring a high quality of execution and service

Qualifications

  • Professional training as Assistant or comparable bachelor’s degree
  • 8 years + of experience in a complex Sales environment / IT preferred
  • Proactive personality, out of the box mentality, time discipline, empathy and high performance demands
  • Ability to build relationships one-to-one and within teams and other organizations
  • Understand priorities and manage completion of multiple requests from different sources
  • Competent in expense reporting procedures, international conversions, and the ability to adhere to travel policies
  • Project poise under pressure, especially during sales closing periods
  • Fluent in German and English, French is a plus
  • Ready to travel inside Germany
