Role summary
Partner with the executive team as a trusted Executive Assistant to manage the PMO, facilitating cross-functional initiatives. You will proactively address requirements, ensure the Executive's operations are efficient, and drive portfolio cadence, reporting, and execution.
Key responsibilities
Executive Support
- Orchestrate complex calendars, inbox triage, and priorities, act as gatekeeper.
- With minimum instruction, proactively follows up on emails when copied, and determine the most appropriate next steps from a scheduling standpoint.
- Maintain and routinely input, compile, collect, and analyze moderately complex and confidential data as needed
- Prepare briefings, agendas, decks, and minutes; track actions to closure.
- Provide elevated administrative support to a specific line of business or service line; to include, document preparation, presentations, calendar management, meeting coordination and tracking minutes of meeting.
- Maintain and routinely input, compile, collect, and analyze moderately complex and confidential data for projects
- Coordinate domestic/international travels and expenses; manage confidential information.
PMO / Program Management
- Run governance cadence: weekly standups, steering committees, status reporting.
- Stand up and maintain project portfolio (charters, timelines, RACI, RAID).
- Coordinate cross-functional deliverables, vendors, and budgets; enforce standards/templates.
- Own documentation hygiene and version control for programs and exec materials.
- Analyze team metrics and collaborate with leadership to optimize resource utilization
- Provide support in generating reports and presentations for project updates and stakeholder meetings.
- Collaborate with diverse stakeholders to compile and consolidate presentations to Host monthly town hall meetings
- Maintain and report on BU headcount, attrition, utilization and other key metric to the leadership in alignment with the business needs.
- Manage and update distribution lists and operational records to support effective team operations.
- Coordinate with Talent Acquisition Team and facilitate recruitment and hiring of new employees for the project needs
Qualifications
- 6–8+ years as EA to C-suite and/or PM/PMO in a fast-paced environment.
- Exceptional written/oral communication; high discretion and executive presence.
- Proficiency with Microsoft Office 365 to include Word, Excel, PowerPoint, and Outlook
- Advanced Microsoft 365; proficiency with excel and executive PowerPoint preparation
- Experience working in large IT services company(preferred)
