Job Description

Sitecore is seeking a service-minded, structured, and people-oriented Global Workplace Office Specialist for its Singapore office. This role is crucial for ensuring smooth daily operations, promoting Sitecorian Culture, and managing various facilities and general office duties. The specialist will handle health and safety compliance, coordinate office projects, manage emergencies, liaise with building management, and support AV/printer access. Additionally, responsibilities include reception duties, ordering supplies and catering, mail handling, and assisting with employee onboarding/offboarding.
Must Have:
  • Ensuring office meets health and safety requirements and comply with legislation
  • Coordinating local office improvement projects
  • Responding appropriately to office emergencies or urgent issues as they arise and dealing with the consequences
  • Liaising with building management for maintenance, security, fire safety and/or refurbishment works
  • Assisting with AV or Printer access
  • Maintaining relationships with local businesses including hotels and service providers
  • Ensure compliance and organisation of First Aiders/Fire Marshal training & compliance
  • Coordinating maintenance works, cleaning, waste disposal and recycling
  • Finance: PO’s, Invoices and budget management for site
  • Remotely support other locations as POC for holiday or illness cover
  • Meet & Greet
  • Office management & upkeep of meeting rooms
  • Ordering catering for internal meetings/events
  • Ordering & maintaining office supplies including stationary, office refreshments and kitchen supplies
  • Preparing & arranging outgoing post & parcels (including Courier)
  • Distribution of incoming mail and packages as appropriate
  • Participate in onboarding and offboarding employees and delivering welcome induction briefing on a rota basis
  • Managing Security and access controls

About the Role/ The Opportunity:

To build on Sitecore’s success, we are looking for a skilled Office Specialist to work as part of our Global Workplace team. People are our greatest asset and that is why we are looking for a Workplace Specialist to our Singapore office, who is service minded, structured, and people-oriented and who will help make our days in the office even smoother.

What You’ll Do:

The role as Workplace Office Specialist has many different areas of responsibility:

Facilities:

  • Ensuring office meets health and safety requirements and comply with legislation
  • Promoting Sitecorian Culture.

What You Need to Succeed:

This role is for you if you are flexible, enjoy working in a varied role and have a good grasp of customer service. It will be an advantage if you can tick off the following:

  • 1-2 years’ experience in a similar role.
  • Outgoing – able to create good connections and ask for help when needed.
  • Take responsibility and make decisions.
  • High level communication skills towards all levels of the organisation.
  • Service-minded.
  • You have a strong customer focus.
  • You are a team player.
  • Good English verbal and written communication skills.
  • Familiar with Microsoft Office
