Job Summary

Oceaneering is looking for a structured and proactive Information Coordinator to join their quality department. The role involves managing and organizing information and documentation according to internal routines and standards, supporting colleagues in information lifecycle management, and improving processes with modern technology. The goal is to make information easily accessible via the intranet, efficiently and user-friendly.

Must Have

  • Perform technical and administrative tasks related to ensuring quality and integrity in documentation and information.
  • Contribute to continuous improvement, maintenance, and administration of the information and document management system.
  • Identify and index documents and other information for easy access by authorized users.
  • Follow up on the information lifecycle to ensure compliance with archiving and storage guidelines.
  • Collaborate with legal and IT departments for correct handling and deletion of information.
  • Provide technical support to internal users of the information and document management system.
  • Plan and support the implementation of system changes, including software configuration.
  • Propose changes to document storage policies as needed.
  • Collaborate with legal and compliance to ensure correct handling of legal requirements (e.g., Legal Hold).
  • Answer user questions about handling various types of information, including controlled documents and review/publication processes.
  • Higher education is an advantage, but relevant experience can compensate.
  • Good understanding of principles, methods, and routines in document control.
  • Minimum 3 years of experience with web-based data solutions and information management.
  • Minimum 3 years of experience with design, development, and maintenance of SharePoint solutions (websites, lists, document libraries, workflows, Power Automate, PowerApps).
  • Minimum 3 years of experience with implementing SharePoint best practices, ensuring performance, security, and stability.
  • Proactive in prioritizing and managing multiple tasks and meeting deadlines.
  • Must reside in Norway and have legal right to work (non-sponsored role).
  • Good oral and written skills in both Norwegian and English.

Good to Have

  • Experience with configuration and data processing in technical systems, especially in engineering.
  • Knowledge of Enterprise Product Data Management (EPDM) and Product Lifecycle Management (PLM).
  • Knowledge of the ANSI/EIA 649 standard for configuration management.

In this role, you will be responsible for handling and organizing information and documentation in line with internal routines and standards. You will support colleagues across the organization in managing information throughout its lifecycle, and contribute to improving processes using modern technology and automation.

Our goal is to make information easily accessible via the intranet – in a way that is both efficient and user-friendly. Your efforts will be important in achieving this goal.

Duties And Responsibilities

In this role, you will work with a wide range of tasks within information and document management, including but not limited to:

• Perform technical and administrative tasks related to ensuring quality and integrity in documentation and information that is managed.

• Contribute to continuous improvement, maintenance, and administration of the system for information and document management.

• Identify and index documents and other information so that authorized users can easily access and retrieve relevant content.

• Follow up on the information lifecycle to ensure compliance with archiving and storage guidelines.

• Collaborate with the legal department and IT for correct handling and eventual deletion of information.

• Provide technical support to internal users of the information and document management system.

• Plan and support the implementation of changes in the system, including software configuration.

• Propose changes to document storage policies as needed, for example, in case of deviations in document types or storage time.

• Collaborate with legal and compliance to ensure correct handling of legal requirements, such as Legal Hold.

• Answer questions from users about handling various types of information, including controlled documents and the process for review and publication.

Qualifications

• Higher education is an advantage, but relevant experience can compensate for a lack of formal education.

• Good understanding of principles, methods, and routines in document control, and the ability to use these effectively.

• Minimum 3 years of experience with web-based data solutions and information management.

• Minimum 3 years of experience with design, development, and maintenance of SharePoint solutions, including websites, lists, document libraries, workflows, and customized applications using Power Automate and PowerApps.

• Minimum 3 years of experience with implementing best practices in SharePoint, as well as ensuring performance, security, and stability in the system.

• Proactive in prioritizing and managing multiple tasks simultaneously and ensuring deliveries within set deadlines.

• Experience with configuration and data processing in technical systems, especially in engineering, is desirable.

• Knowledge of Enterprise Product Data Management (EPDM) and Product Lifecycle Management (PLM) is an advantage.

• Knowledge of the ANSI/EIA 649 standard for configuration management.

Please note that the position is based in Forus, and is a non-sponsored role. Applicants must therefore reside in Norway and have a legal right to work to be considered.

Good oral and written skills in both Norwegian and English are also a requirement for this role.
