About the team and the role

The Patents & Open Source team protects eBay’s innovation through a global IP portfolio spanning patents, open source, trade secrets, standards, and defensive publications. As a Legal Assistant, you will support an AI‑enabled patent drafting and prosecution program by owning document preparation, docket accuracy, and operational workflows that help attorneys and agents move high‑quality filings at speed. This role is based in Bengaluru, India with hybrid work and cross‑time‑zone collaboration across APAC, EU, and US.

What you will accomplish

  • Maintain the patent docket: capture deadlines, verify accuracy, trigger reminders, and call out risks promptly.
  • Prepare and assemble filing packages (specifications, claims, abstracts, figures, and required forms), apply style guides, and ensure complete, consistent, and submission‑ready documents.
  • Coordinate signatures and supporting documents (declarations, assignments, powers of attorney), track status, and archive final completed copies.
  • Support AI‑assisted drafting workflows by applying checklists and SOPs for formatting, citations, exhibits, and version control; perform light QA on tool outputs for completeness and consistency.
  • Partner with attorneys/agents and outside counsel on submission logistics and acknowledgments; update trackers with filing details, official communications, and prosecution events.
  • Compile and maintain reference libraries (prior art citations, IDS inputs, portfolio metadata), ensuring accurate cross‑referencing across matters.
  • Operationalize templates and pattern libraries for repeatable tasks; propose improvements to SOPs that increase quality and throughput.
  • Run IPSC meeting operations (agenda, materials, minutes) and track outcomes (route, decisions, follow‑ups) for invention disclosures and protection paths.
  • Produce metrics and status reports for filings, office actions, allowances, and cycle times; maintain dashboards and audit‑ready records.
  • Coordinate vendor administration and invoicing for outside counsel and tooling; support purchase requests, matter openings, and reconciliation with budget trackers.
  • Uphold confidentiality and compliance standards for sensitive data and documents; follow information handling, data governance, and record‑retention requirements.

What you will bring

  • Experience in a legal assistant/paralegal capacity (IP/patent preferred) with strong document discipline, accuracy, and follow‑through.
  • High ownership of docketing and deadlines; proven ability to handle multiple matters and escalate risks early.
  • Comfort with AI‑enabled workflows, including prompt‑driven document generation, structured templates, and output evaluation against SOPs.
  • Strong written communication; ability to apply style guides and produce clean, consistent filing packages.
  • Proficient with efficiency and collaboration tools; quick learner of legal document management systems and trackers.
  • Collaborative, inclusive teammate who builds trust across functions; comfortable operating in a hybrid, cross‑time‑zone environment from Bengaluru.
  • High integrity, good judgment, and dedication to confidentiality, accuracy, and continuous improvement.
