The Executive Administrator will provide analytical and specialized administrative support to ensure smooth day-to-day operations. Key responsibilities include general office management, travel arrangements, expense reports, scheduling, calendaring, administrative support, office supplies procurement, and organizing team events. The role requires adaptability in a fast-paced environment, cross-functional collaboration with other executives and administrators, and efficient meeting organization.
Must Have
- Provide analytical and specialized administrative support
- Ensure smooth day-to-day operations
- Manage general office tasks including travel arrangements, expense reports, scheduling, calendaring
- Provide administrative support and procure office supplies
- Organize and schedule numerous team events and meetings
- Adapt seamlessly and proactively within a fast-paced, fluid work environment
- Work cross-functionally with other executives and executive administrators
- Possess a HS diploma
- Have 5+ years’ experience supporting executive-level (VP & above)
- Experience in working with Sr. Level Executives inside and outside the company
- Be highly proficient with the Microsoft Office Suite; Outlook, Word, Excel, and PowerPoint
- Be comfortable with various systems such as Coupa or procurement systems
- Ability to multi-task effectively
- Ability to work efficiently with little supervision
- Maintain a positive attitude, maturity, and ability to maintain confidentiality
- Demonstrate attention to detail
- Be comfortable working under pressure
- Possess a desire to be helpful
- Have excellent verbal and written communication skills
- Be located in San Jose, CA

- Must be comfortable with various systems such as Coupa or procurement systems.
- Ability to multi-task effectively is critical, as is supporting multiple people concurrently.
- Ability to work efficiently with little supervision is essential.
- Positive attitude, mature, ability to maintain confidentiality, attention to detail, comfortable working under pressure, desire to be helpful is also required.
