Job Description

We are searching for an Executive Assistant to support 2 Sales leaders. This position is critical to the operations and culture of the organization, acting as a liaison between the executive team, administrative team, employees, and clients. The ideal candidate is highly organized, detail-oriented, self-motivated, and possesses excellent communication skills. You will be a true partner, managing internal and external schedules, travel, expenses, email, and communications, alongside daily administrative duties.

Must Have:
  • Monitor and manage executive emails, drafting communications.
  • Schedule meetings across multiple time zones with busy executives.
  • Manage all travel arrangements, including flights and hotel reservations.
  • Be available in the Austin office for key team functions and events.
  • Plan customer, partner, or internal dinners, off-sites, and QBRs.
  • Organize documents within Confluence.
  • Review upcoming calendars and travel plans for accuracy.
  • Create and submit monthly expense reports.
  • Conduct daily catch-up calls with executives to review needs and schedule changes.
  • Create customer profiles for introductory calls.
  • Facilitate internal communication and schedule presentations.
  • Organize off-sites and meetings, including catering.
  • Handle and protect confidential information with the highest discretion.
  • Manage the executive's day-to-day calendar, prioritizing sensitive matters.
  • Ability to operate within an environment of ambiguity and problem-solve on your feet.
  • Ability to build rapport and work across functional teams.
  • Ability to work independently and with a team on multiple projects in a fast-paced environment.
  • Ability to manage multiple calendars, understanding business context to juggle priorities.
  • Previous experience as an Executive Assistant for senior-level sales executives within a large company.
  • 5-8 years of experience in a similar role.

We are searching for an Executive Assistant to support 2 Sales leaders. This Executive Assistant position is critical to the operations and culture of the organization, as you are the liaison between the executive team, administrative team, employees, and clients. You should be highly organized, detail-oriented, self-motivated, and have great communication/social skills.

While supporting these executives, you will be a true partner with them day to day while you manage internal and external schedules, travel and expenses, email/inbox, and communications, as well as all daily administrative duties. You are a detail-oriented taskmaster who can’t stand to have anything unchecked on your to-do list or an email unanswered. Your world is email, calendars, and to-do lists. Occasionally, you attend meetings on his behalf, create presentations, and juggle priorities often. You are easy to speak with and respond in a timely manner to questions from other team members. You will handle all daily support and organization, as well as task and team management for this executive.

Key Responsibilities

  • Monitor the executives' many daily emails to label them, flag important ones for attention, and respond to any that you can handle directly. Write and edit emails, draft memos, and prepare communications on each executive's behalf.
  • Schedule (and reschedule) impossible meetings across multiple time zones with busy executives, other executive assistants, and large groups by email and Slack.
  • Manage all travel, including booking flights, hotel reservations, and other travel arrangements for local, domestic, and international trips.
  • Be available in the office when executives are in the Austin office for all-hands, QBRs, end of quarter, etc., for other team functions.
  • Plan customer, partner, or internal dinners, off-sites, and QBRs.
  • Organize documents within Confluence.
  • Review upcoming calendars or travel plans to catch any little details that were missed or entered incorrectly, and keep the executives abreast of all plans.
  • Create and submit monthly expense reports.
  • Have daily catch-up calls with executives to review needs, calls, schedule changes, etc.
  • Create customer profiles for introductory calls.
  • Facilitate internal communication (e.g., distribute information and schedule presentations).
  • Organize off-sites and meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Ability to handle and protect confidential information with the highest level of discretion.
  • Manage the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters.
  • Ability to operate within an environment of ambiguity; to problem solve “on your feet”; remain calm when chaos strikes.
  • Ability to build rapport and work across functional teams.
  • Ability to work independently and with a team (internal and external) on multiple projects in a fast-paced environment.
  • Ability to manage multiple calendars at once; understanding of business context to juggle priorities, and plan.

Benefits and Compensation listed vary based on the location of your employment and the nature of your employment with SailPoint.

As a part of the total compensation package, this role may be eligible for the SailPoint Corporate Bonus Plan or a role-specific commission, along with potential eligibility for equity participation. SailPoint maintains broad salary ranges for its roles to account for variations in knowledge, skills, experience, market conditions and locations, as well as reflect SailPoint’s differing products, industries, and lines of business. Candidates are typically placed into the range based on the preceding factors as well as internal peer equity. We estimate the base salary, for US-based employees, will be in this range from (min-mid-max, USD):

$77,500 - $110,700 - $143,900

Base salaries for employees based in other locations are competitive for the employee’s home location.
