About the Role

As an Executive Assistant, you play an important role in providing professional, responsive and in confidence support to assigned Executives and their broader teams, to enable them to focus on their key priorities and to better focus on value-adding internal and external customer service needs. You thrive on adding great value for Telstra by ensuring timely and effective alignment of your Executives’ schedule to strategic and business priorities and presenting as a brand ambassador internally and externally.

You will be Supporting two executives- Group Treasurer & COE —Corporate Finance with extensive diary management, including meetings involving many senior internal and external stakeholders. Providing vital support to the corporate treasurer by monitoring approvals, email supervision and travel arrangements. Proven ability to work effectively within a team with the ability to multitask and work within designated timeframes.

In this role, you will deliver the following responsibilities:

  • Provide consistent, confidential and comprehensive executive support as required to your assigned Executives in the coordination of diary and schedule management, including attending relevant meetings and actioning of any related tasks
  • Collaborate with members of the Executives’ broader teams and external stakeholders to provide support in aspects of event management (including any team offsites), travel arrangements and accommodation for your assigned Executives and their teams, ensuring they are in line with Telstra’s policies and procedures
  • Provide support to your assigned Executives in ensuring expense claims and leave requests occur in a timely manner and are handled as per Telstra’s policies and procedures
  • Provide support to your assigned Executives with various initiatives that improve the function of the team, and knowledge sharing across the team, as well as being proactive in generating ideas which create process improvements. For example, these may include creating a central shared file system which contains organization charts and information about each team or creating a calendar of leave and training requirements across the team
  • Both Executives you will be supporting thrive on continuous improvement and learning and are looking for an EA with a similar level of energy and dedication
  • Utilise sound judgement and knowledge of business units to professionally handle inbound calls, e-mails and other correspondence, ensuring that they are reviewed, actioned and filed in a timely and professional manner
  • Participate in continuous improvement initiatives such as streamlining processes, eliminating unnecessary steps and using the best technology available to enhance the efficiency and effectiveness of your delivery in the role
  • Collaborate with members of the Executives’ team to seek input to solve problems that arise, redirecting urgent issues and complaints to the most appropriate individuals, ensuring the relevant stakeholders and Executives are kept abreast of details or outcomes
  • Take ownership for maintaining accurate and up to date files and documents, ensuring they are organised for quick retrieval of essential information
  • Leverage sound interpersonal skills and knowledge of office administration to collaborate and guide members of your Business Unit in the delivery of adhoc tasks in line with Agile and the Telstra Ways of Working
  • Explore alternatives when problem solving that gain the support and acceptance of all parties and maximise benefits to the organisation
