Job Description

Moonbox is a boutique branding agency in Dubai, expanding rapidly and seeking a high-performing Sales Coordinator. This role is the operational backbone of the sales function, responsible for CRM hygiene, timely proposal delivery, schedule management, and supporting the business development team. The Sales Coordinator will ensure no opportunity is missed and every lead is effectively nurtured, directly impacting revenue.
Good To Have:
  • Background in branding, marketing, or agency environments is a plus.
Must Have:
  • Maintain accurate and up-to-date CRM records (HubSpot) across all sales stages.
  • Coordinate schedules, meetings, and follow-ups without errors or overlaps.
  • Prepare weekly reports and dashboards on sales pipeline and activity.
  • Ensure timely follow-ups with a minimum of 3 follow-ups per lead in 10 days.
  • Support proposal timelines by ensuring all proposals are sent within 24–48 hours post-call.
  • Uphold rigorous documentation practices and internal sales processes.
  • Confidently work across tools like HubSpot, Google Calendar, Zoom, Notion, and proposal formatting platforms.
  • Leverage AI productivity tools and project management platforms like Asana when applicable.
  • Format, polish, and deliver professional-grade proposals and documents.
  • Coordinate internal review loops and approvals before proposal submission.
  • Maintain a repository of sales templates, assets, and case studies.
  • Execute sales tasks with urgency and adaptability, especially during peak periods.
  • Be proactive in identifying and resolving process bottlenecks.
  • Respond promptly to tasks and communications, even outside standard working hours when required.
  • 2–4 years in a Sales Coordinator, Executive Assistant, or similar role.
  • Prior experience with CRM platforms (preferably HubSpot) and calendar/scheduling tools.
  • Excellent English communication skills – written and verbal.
  • Strong attention to detail, organizational ability, and a high sense of ownership.
