We are seeking a proactive and highly organized Senior Executive Assistant II to provide high-level administrative support to a senior executive and their broader team. This role demands strong business judgment, discretion, and a solutions-oriented mindset. The ideal candidate is a self-starter who thrives in a dynamic environment, can juggle multiple responsibilities, and is comfortable interacting across all organizational levels. Responsibilities include managing complex calendars, coordinating meetings and events, preparing confidential communications, drafting correspondence, and managing domestic and international travel and expenses.

Must Have:
  • Manage & prioritize complex calendars and daily schedules for the Executive and their team
  • Coordinate logistics for meetings and events, both virtual and in person
  • Prepare and manage confidential communications and files with discretion and professionalism
  • Provide administrative support and detailed coordination for Executive, Analyst, Customer, etc. meetings
  • Draft and edit high-level correspondence, presentations, and reports
  • Plan and coordinate complex domestic and international travel itineraries
  • Complete and submit accurate expense reports on behalf of the Executive
  • 10+ years of experience supporting senior executives in a fast-paced environment
  • Proven ability to work independently and handle sensitive information with integrity and discretion
  • Strong communication and interpersonal skills
  • Excellent organizational skills and attention to detail
  • Demonstrated ability to prioritize and manage competing demands
  • Proficient with Microsoft Office Suite and expense/travel management tools

Overview:

We are seeking a proactive and highly organized Senior Executive Assistant II to provide high-level administrative support to a senior executive and their broader team. This role demands strong business judgment, discretion, and a solutions-oriented mindset. The ideal candidate is a self-starter who thrives in a dynamic environment, can juggle multiple responsibilities, and is comfortable interacting across all organizational levels.

What You’ll Do:

Executive & Team Support – 40%

  • Manage & prioritize complex calendars and daily schedules for the Executive and their team, including arranging appointments, meetings, and conference calls.
  • Coordinate logistics for meetings and events, both virtual and in person, including room reservations, technology setup, and catering.
  • Anticipate scheduling needs and proactively resolve conflicts or roadblocks.

Administrative Support – 35%

  • Prepare and manage confidential communications and files with discretion and professionalism.
  • Provide administrative support and detailed coordination for Executive, Analyst, Customer, etc. meetings, ensuring materials are organized and delivered on time.
  • Draft and edit high-level correspondence, presentations, and reports.

Travel & Expense Management – 25%

  • Plan and coordinate complex domestic and international travel itineraries.
  • Prepare detailed travel briefs and handle all logistics related to transportation, lodging, and meeting coordination, including customer and event briefings.
  • Complete and submit accurate expense reports on behalf of the Executive in a timely manner.

Additional Responsibilities:

  • Assist with special projects, team events, and other initiatives as assigned.
  • Work globally as needed to support Executive with global business needs.
  • Support onboarding processes for new hires and manage office space coordination for the Executive’s team.
  • Serve as a trusted point of contact, maintaining strong working relationships across the organization.
  • Partner closely with Executive’s Chief of Staff with setting up distribution lists, team rosters, arranging calendar series meetings with extended leadership

Who you are:

  • 10+ years of experience supporting senior executives in a fast-paced environment.
  • Proven ability to work independently and handle sensitive information with integrity and discretion.
  • Strong communication and interpersonal skills; able to interact with executives, board members, and cross-functional teams with professionalism.
  • Excellent organizational skills and attention to detail, with a demonstrated ability to prioritize and manage competing demands.
  • Flexible, resourceful, and calm under pressure—with a sense of humor and a “no task is too small” mindset.
  • Proficient with Microsoft Office Suite and expense/travel management tools.
  • Experience onboarding new employees and supporting a dynamic workforce preferred.

The salary range for this position is: $79,615 - 100,385

The salary range information provided, reflects the anticipated base salary range for this position based on current national data. Minimums and maximums may vary based on location. Individual salary will be commensurate with skills, experience, certifications or licenses and other relevant factors. In addition, this role will be eligible to participate in either the annual performance bonus or commission program, determined by the nature of the position.
