Job Summary
Entrata, a global leader in property management software, is seeking an Admin & Facilities Partner III for its Pune office. This role is crucial for ensuring the smooth and efficient operation of both facilities management and cafeteria services for a large corporate office. Responsibilities include overseeing daily facilities upkeep, vendor coordination, maintaining cafeteria service quality, hygiene, and safety, and enhancing the overall employee experience. The position requires strong operational oversight, proactive issue resolution, and effective stakeholder and vendor management.
Must Have
- Supervise daily cafeteria operations including meal services, food quality, and service delivery.
- Oversee crowd flow management for large employee volumes and ensure minimal wait times during peak hours.
- Coordinate weekly menu planning with vendors and internal committees to improve food variety and experience.
- Work closely on equipment upkeep, service readiness, and timely corrective maintenance.
- Ensure adherence to food safety (HACCP, FSSAI), hygiene standards, and corporate EHS guidelines.
- Oversee cleanliness of cafeteria, food counters, pantries, and dining areas including pest control activities.
- Ensure all operational areas meet safety norms; support incident reporting and preventive measures.
- Supervise daily facilities upkeep and maintenance across office premises.
- Plan, manage, and execute annual housekeeping and preventive maintenance (PPM) schedules.
- Liaise with building management, managed service providers, and external vendors for seamless operations.
- Manage multiple vendors including food service partners, pantry services, equipment maintenance, and cafeteria support teams.
- Monitor vendor SLAs and KPIs, conduct regular audits, and track performance reports.
- Support contract compliance, billing verification, and budget adherence for assigned vendors.
- Engage with employees to gather feedback, address issues, and enhance their dining and workplace experience.
- Manage feedback channels (helpdesk/apps) and ensure timely resolution of queries.
- Coordinate communication with HR, Facilities, Food Committees, and vendors as required.
- Bachelor’s degree in Business Administration, Hospitality, Facilities, or related field (or equivalent experience).
- 5–8 years of experience in facilities operations, cafeteria management, or vendor coordination.
- Strong knowledge of housekeeping, PPM, food safety, and workplace safety standards.
- Excellent communication, planning, and stakeholder management skills.
