Job Description

The Documentation Analyst will be responsible for archiving documentation in physical and digital media according to internal norms and TCU guidelines. Key tasks include technical support for document verification, formatting, classification, registration, digitization, and printing. The role involves analyzing technical documentation against N-1710, N-381, and N-2064 standards, registering documents in the EDMS, and preparing reports on document deviations. Proactive engagement in meetings and ensuring contractual compliance are also essential.
Must Have:
  • 3 years of proven experience as a Documentation Analyst.
  • Experience with Electronic Document Management Systems (EDMS).
  • Proficiency in MS-Office Suite and Acrobat Professional.
  • Technical degree in Administration, Library Science, or Secretarial Studies.
  • Ability to archive, verify, format, classify, register, digitize, and print documents.
  • Knowledge of N-1710, N-381, and N-2064 technical documentation standards.
  • Experience in generating reports and controlling documentation.

MANDATORY REQUIREMENTS

EXPERIENCE

  • 3 (three) years of proven experience in the role;
  • Experience in using Electronic Document Management Systems (EDMS);
  • Experience in structuring and organizing physical and electronic archives;
  • Proficiency in MS-Office Suite;
  • Proficiency in Acrobat Professional.

EDUCATION

  • Level of Education: Technical degree in Administration, Technical degree in Library Science, or Technical degree in Secretarial Studies.

RESPONSIBILITIES

  • Archiving documentation (according to norms, internal systems, and TCU guidelines) regularly in physical and digital media;
  • Technical support and execution of verification, formatting, classification, registration, digitization, printing, and archiving of documents;
  • Analysis of technical documentation, focusing on N-1710, N-381, and N-2064 norms, indicating and diligently addressing identified inconsistencies;
  • Registration of documents and revisions in the specific EDMS (Electronic Document Management System) used by the CLIENT;
  • Periodic verification and analysis regarding the EPCIsta's planning of the document list of the signatory company of the contract signed for project execution and/or its subcontractors, in addition to corporate electronic document management systems, and preparation of reports highlighting the main points of attention regarding deviations;
  • Participate in meetings with the EPCIsta;
  • Control of all received documentation and preparation of specific reports;
  • Act proactively to ensure all requirements of the contractual annexes are met.
