They seek a Freelance Project Manager for an upcoming experiential activation. This role involves end-to-end project management, ensuring seamless delivery on time and within budget. The manager will liaise with clients, internal teams, and vendors, requiring strong project management, communication, and execution skills in a fast-paced environment.
Must have:
  • Oversee end-to-end project management of experiential activation.
  • Act as main liaison between clients, internal teams, and vendors.
  • Develop detailed project plans, timelines, and deliverables.
  • Lead coordination across creative, production, and technical teams.
  • Source, manage, and coordinate external vendors and partners.
  • Manage project budgets and resources efficiently.
  • Conduct site visits and oversee on-site execution.
  • Facilitate status meetings and provide project updates.
  • Ensure activation aligns with client’s brand and vision.
  • Support post-activation process, debriefs, and reporting.
Good to have:
  • Familiarity with project management tools (e.g., Asana, Monday.com, Trello).
  • Knowledge and interest in fashion, luxury, and lifestyle sectors.

MATTE Projects is a 360° full-service creative studio, specializing in creating immersive experiences, powerful storytelling, and cutting-edge design. Working across the fashion, luxury, and lifestyle sectors, we provide strategic ideation, creative development, branding, production, and experiential activations for top brands. We are currently seeking a Freelance Project Manager to work alongside our Client Services team on an upcoming experiential activation.

Role Overview:

As a Freelance Project Manager, you will be responsible for the successful planning and execution of an experiential activation, ensuring all aspects are delivered seamlessly, on time, and within budget. You will work closely with the Client Services team, internal creative and production teams, and external vendors to bring the activation to life. This role requires strong project management expertise, excellent communication skills, and experience in executing high-quality experiential activations in a fast-paced environment.

Key Responsibilities:

  • Oversee the end-to-end project management of a high-impact experiential activation, from concept development through execution and post-event wrap-up.
  • Act as the main liaison between clients, internal teams, and external vendors, ensuring alignment on all aspects of the activation.
  • Collaborate with the Client Services team to interpret the client’s brief and develop detailed project plans, timelines, and deliverables.
  • Lead coordination between creative, production, and technical teams to ensure that all elements of the activation are executed to the highest standards.
  • Source, manage, and coordinate with external vendors and partners, ensuring timely delivery of materials and services.
  • Manage project budgets and resources efficiently to meet financial goals.
  • Conduct site visits and oversee on-site execution, ensuring smooth operations and problem-solving as needed.
  • Facilitate regular status meetings, providing updates on project progress, timelines, and any potential risks.
  • Ensure all aspects of the activation align with the client’s brand, objectives, and vision.
  • Support the post-activation process, including event debriefs and reporting on key performance metrics.

Qualifications:

  • 3+ years of project management experience with a focus on experiential activations, events, or production.
  • Proven ability to manage complex projects with multiple stakeholders, balancing timelines, budgets, and client expectations.
  • Strong understanding of the experiential activation process, including creative, logistical, and technical components.
  • Experience working with cross-functional teams in a fast-paced environment.
  • Excellent communication, leadership, and problem-solving skills.
  • Ability to manage external vendors and contractors effectively.
  • Familiarity with project management tools (e.g., Asana, Monday.com, Trello) is a plus.
  • Strong organizational skills with keen attention to detail.
  • Knowledge and interest in the fashion, luxury, and lifestyle sectors are preferred.
