Job Summary

JetBrains, an international software development company, is seeking a reliable, proactive, and people-oriented HR Specialist for its growing Polish office. This role is crucial for ensuring smooth day-to-day HR operations, including payroll data preparation, and creating a supportive environment for employees. The ideal candidate will combine strong administrative skills, confidence with HR systems, and a friendly, solution-focused approach to support colleagues throughout their journey with the company.

Must Have

  • Establish and archive personnel files (in traditional and electronic formats)
  • Maintain records of working time, vacation, and sick leave
  • Issue employment and earnings certificates
  • Prepare monthly payroll inputs (absences, leaves, and employment changes)
  • Prepare employment contracts and employment termination documents
  • Submit notifications to the Social Insurance Institution (ZUS) and other offices
  • Onboard new employees
  • Monitor changes to the Labor Code and implement them within the company
  • Cooperate with the Tax Office and ZUS
  • Prepare reports and statements for management and statistical offices
  • Provide employees with information on labor law and social insurance regulations
  • Assist in resolving conflicts
  • Minimum of two years of experience in HR/payroll
  • Knowledge of Polish labor and social security laws
  • Fluency in Polish and English
  • Experience in the employment of foreign citizens
  • Experience in preparing personnel documentation and maintaining personal files
  • Good organizational skills and a detail-oriented mindset
  • Knowledge of HR and payroll software, as well as Microsoft Office
  • Strong communication skills, the ability to work in a team, and sense of responsibility

We are currently looking for a reliable, proactive, and people-oriented HR Specialist to join our HR team. You will ensure smooth day-to-day HR operations for our growing Polish office, including payroll data preparation. The ideal candidate combines strong administrative skills, confidence in working with HR systems, and a friendly, solution-focused approach.

Responsibilities:

1. Documentation management:

  • Establish and archive personnel files (in traditional and electronic formats).
  • Maintain records of working time, vacation, and sick leave.
  • Issue employment and earnings certificates.
  • Prepare monthly payroll inputs (absences, leaves, and employment changes)

2. Oversight and employee induction:

  • Prepare employment contracts and employment termination documents.
  • Submit notifications to the Social Insurance Institution (ZUS) and other offices.
  • Onboard new employees.
  • Monitor changes to the Labor Code and implement them within the company.
  • Cooperate with the Tax Office and ZUS.
  • Prepare reports and statements for management and statistical offices.

3. Employee support:

  • Provide employees with information on labor law and social insurance regulations.
  • Assist in resolving conflicts.

We will be happy to have you on our team if you have:

  • A minimum of two years of experience in HR/payroll.
  • Knowledge of Polish labor and social security laws.
  • Fluency in Polish and English, with the ability to communicate clearly and professionally in both languages.
  • Experience in the employment of foreign citizens.
  • Experience in preparing personnel documentation and maintaining personal files.
  • Good organizational skills and a detail-oriented mindset.
  • Knowledge of HR and payroll software, as well as Microsoft Office.
  • Strong communication skills, the ability to work in a team, and sense of responsibility.
